Executive Assistant / Operations Coordinator

Position Summary

We are seeking a highly organized and proactive Executive Assistant / Operations Coordinator to provide administrative and operational support to senior leadership while helping ensure the efficient day-to-day operations of the team. This role serves as a key point of coordination for executive scheduling, communication, reporting, and client onboarding activities. The ideal candidate is detail-oriented, able to manage multiple priorities, and comfortable handling confidential information in a fast-paced environment.

Key Responsibilities

  • Provide high-level administrative support to senior leadership, helping manage priorities and coordinate daily activities.
  • Coordinate internal and external meetings, including scheduling, conference rooms, virtual meeting logistics, equipment, and catering as needed.
  • Maintain organized electronic and physical filing systems to ensure documentation is accurate, current, and easily accessible.
  • Handle confidential information with discretion and professionalism while supporting sensitive administrative matters.
  • Arrange domestic and international travel, including itineraries, accommodations, and related logistics in accordance with company policies.
  • Manage incoming correspondence and ensure communications are distributed to the appropriate individuals in a timely manner.
  • Serve as a liaison between internal departments, clients, and external partners to facilitate effective communication and follow-up.
  • Screen and prioritize emails, requests, and other communications, directing them to the appropriate stakeholders when necessary.
  • Support client onboarding activities by maintaining accurate records within internal databases and CRM platforms such as Salesforce.
  • Coordinate schedules, meetings, and onboarding sessions for new clients and external stakeholders.
  • Prepare and maintain operational reports, dashboards, and administrative documentation to support business operations.
  • Assist with ongoing operational processes and routine administrative functions to ensure smooth day-to-day workflow.
  • Manage shared mailboxes and help coordinate team communications.
  • Schedule and administer internal training, education sessions, webinars, and other team events.
  • Provide general operational support and assist with special projects as assigned.
