Overview

The Project Manager & Operations Coordinator plays a key role in supporting strategic initiatives across multiple subsidiaries within the organization. This position manages project timelines related to business acquisitions, assists with recruiting activities, maintains project tracking systems in Monday.com, and provides operational support to the Service division, including Salesforce administration and other cross functional tasks. The ideal candidate is highly organized, proactive, and comfortable working in a fast paced, evolving environment.

Key Responsibilities

  • Coordinate and track project timelines for business acquisitions, ensuring milestones, deliverables, and dependencies are met.
  • Maintain clear communication with internal stakeholders, subsidiary leaders, and external partners.
  • Prepare project documentation, status updates, and executive summaries.
  • Identify risks, bottlenecks, and resource needs across acquisition related projects.
  • Serve as a central point of coordination for operational initiatives across multiple subsidiaries.
  • Standardize processes, templates, and reporting to improve cross company alignment.
  • Support leadership with data gathering, reporting, and workflow optimization.
  • Assist with recruiting activities including job postings, candidate tracking, interview scheduling, and communication with applicants.
  • Partner with hiring managers to ensure smooth and timely hiring processes.
  • Maintain recruiting dashboards and metrics.
  • Build, maintain, and optimize Monday.com boards, automations, and dashboards.
  • Train team members on Monday.com  best practices and ensure consistent usage across subsidiaries.
  • Monitor project progress and follow up with stakeholders to keep tasks on track.
  • Assist the Service division with Salesforce data entry, reporting, and light administrative tasks.
  • Help troubleshoot workflow issues and coordinate with internal or external Salesforce admins when needed.

Required Qualifications

  • Bachelors Degree
  • 4-6 years of experience in project management, operations, or a similar role.
  • Strong organizational and multitasking skills with the ability to manage competing priorities.
  • Experience using Monday.com or similar project management tools.
  • Familiarity with Salesforce or other CRM platforms.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively across teams.

Preferred

  • Experience supporting business acquisitions or integration projects.
  • Background in recruiting coordination or HR operations.
  • Experience working in multi entity or multi subsidiary environments.
  • Intermediate Excel/Sheets skills and comfort with data reporting.
