Job Summary
The Administrative Assistant provides high-level administrative support in a fast-paced, team-oriented environment. This role requires flexibility to support multiple teams, strong organizational skills, sound judgment, and the ability to handle highly confidential information with discretion. The ideal candidate is proactive, detail-oriented, and comfortable interacting with senior leaders and clients.
Key Responsibilities
- Provide administrative support in a collaborative team environment, with flexibility to assist various teams and provide coverage as needed
- Coordinate domestic and international travel arrangements as required
- Process a high volume of expense reports and related invoices accurately, timely, and in compliance with policies
- Arrange internal and client meetings both on and off campus, including:
- Booking conference rooms and catering through conference services
- Registering guests and ensuring meeting materials are prepared and organized
- Perform general administrative duties including invoice submissions, time entry, copying, scanning, filing, mailing, archiving, and other ad hoc projects
- Manage complex calendars across multiple time zones, prioritize meeting requests, and coordinate phone, video, and in-person meetings
- Answer incoming phone calls and take detailed, accurate messages while interacting professionally with senior business leaders and clients
- Handle highly confidential and sensitive information with the utmost discretion
- Act as an integral member of the administrative support team by maintaining awareness of current priorities and support needs
- Adhere to compliance requirements and obtain necessary approvals as required
Required Skills & Qualifications
- Demonstrated ability to exercise excellent judgment and discretion when handling confidential and sensitive information
- Strong interpersonal skills with the ability to work collaboratively within a local and global assistant team
- Ability to remain calm under pressure and effectively prioritize and manage multiple tasks in a fast-paced environment
- Excellent written and verbal communication skills with a consistently professional demeanor
- Comfortable providing remote support to executives and team members across multiple locations
- Exceptional attention to detail and strong organizational skills
- Quick learner and self-starter with strong anticipation and follow-up skills
- Proactive problem solver and independent thinker
- Highest level of integrity, professionalism, and diplomacy
- Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Zoom
- Familiarity with expense management platforms such as SAP Concur
- Positive, supportive team player with a service-oriented attitude
