Role Overview
Major Financial Institution is seeking an experienced Administrative Assistant to provide high-level administrative support within a shared, team-oriented environment supporting AWM Leadership. The ideal candidate is highly organized, detail-oriented, and comfortable operating in a fast-paced, confidential, and client-facing setting. Coverage needs may vary based on business priorities and location requirements.
Key Responsibilities
- Provide comprehensive administrative support across multiple teams, offering flexible coverage as business needs evolve
- Coordinate domestic and international travel arrangements; process high volumes of expense reports and invoices accurately and in compliance with firm policies
- Manage complex calendars across multiple time zones, prioritizing and coordinating meetings, calls, and video conferences
- Arrange internal and external meetings, including conference room bookings, catering coordination, guest registration, and material preparation
- Perform general administrative tasks including time entry, invoice submissions, copying, scanning, filing, mailing, and ad hoc projects
- Serve as a point of contact for incoming calls; interact professionally with senior leaders, clients, and stakeholders
- Handle highly confidential and sensitive information with discretion and sound judgment
- Act as an integral member of the administrative support team, maintaining awareness of shifting priorities
- Adhere to all Compliance requirements and obtain necessary approvals
Required Skills & Qualifications
- Demonstrated ability to exercise sound judgment and discretion when handling confidential information
- Strong interpersonal and communication skills; professional written and verbal presence
- Ability to remain calm under pressure while managing multiple priorities in a high-volume environment
- Exceptional organizational skills and attention to detail
- Proactive, self-motivated problem solver with strong follow-through
- Comfortable supporting executives and teams remotely across different locations
- High degree of integrity, professionalism, and diplomacy
- Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Zoom
- Experience with expense management platforms such as SAP Concur preferred
- Team-oriented mindset with a positive, flexible attitude
