Job Title: Receptionist
Location: Boston, MA ***On-Site Required***
Duration: 12+ Months
Pay Rate: $21/hour
Hours of Operation:
Monday–Friday, 7:30 AM – 4:00 PM (30-minute unpaid break)
Excludes company holidays
Position Overview
The Receptionist serves as the first point of contact for clients, visitors, and employees, delivering a professional, welcoming, and secure front-desk experience. This role requires strong customer service skills, attention to detail, and the ability to multitask in a corporate environment while adhering to professional standards and security protocols.
Key Responsibilities
- Greet and welcome visitors and callers with a professional, friendly, and service-oriented demeanor
- Maintain best-in-class telephone etiquette and hospitality standards
- Provide guidance and assistance to clients, guests, and colleagues
- Register all incoming visitors and immediately notify hosts via phone or email
- Issue visitor and temporary Access Control ID badges and maintain accurate logs
- Update employee and contractor access profiles in the Genetec Enterprise Security System
- Assist walk-in clients by contacting service representatives or managers onsite
- Build rapport with guests while managing multiple tasks simultaneously
- Maintain a clean, organized, and professional reception area at all times
- Enforce desk standards, including no eating or drinking at the reception desk
- Provide administrative support as directed
Facilities & General Services Support
- Coordinate with onsite or external caterers for food delivery, setup, and cleanup
- Notify Facilities of maintenance needs (lighting, spills, furniture, walls, millwork, etc.)
- Submit building-related issues to the landlord via Aware work orders (restrooms, elevators, etc.)
- Monitor entry doors for proper operation and report malfunctions promptly
- Monitor CCTV for unusual activity or security concerns and escalate immediately
- Participate in annual evacuation drills and assist Facilities with coordination and recordkeeping
Mail & Deliveries
- Provide access and coordination for mailroom and courier deliveries (USPS, UPS, FedEx)
Required Qualifications
- Proficiency in Microsoft Office
- Strong organizational and multitasking skills
- Excellent communication and customer service skills
- Ability to maintain professional appearance, grooming, and demeanor
- Dependable, punctual, and detail-oriented
Preferred Qualifications
- CPR and First Aid certification
