The Administrative Assistant provides high-level administrative support to the General Manager and leadership team within the Supply & Trading and Shipping organizations. This role ensures efficient operations by managing schedules, communications, travel, and internal coordination.
Provides administrative or office support to non-executive employees, departments, or functions.
Manages group and employee work to align with corporate/department objectives.
Direct reports are typically individual contributors.
Key Responsibilities
Manage executive calendars, prioritize meetings, and coordinate appointments.
Screen and respond to emails and correspondence on behalf of assigned employees.
Organize and support meetings, conferences, and team events.
Maintain communication across internal departments and external stakeholders.
Prepare reports, presentations, and handle confidential documents.
Collaborate with other administrative staff to ensure seamless operations.
Required Qualifications
5-10 years of administrative experience supporting senior leadership.
Strong organizational skills with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneNote).
Ability to handle confidential information with discretion.
Strong interpersonal skills and ability to work in a fast-paced environment.
Preferred Qualifications
Experience in supply chain, trading, or energy industry environments.
Familiarity with global travel coordination and compliance requirements.
