Job Description

ProspectBlue is partnering with a Richmond-based client ~ an industry leader in transportation and logistics ~ to hire a Part-Time Executive Assistant.

 

This role offers the opportunity to work closely with senior leadership, providing high-level administrative support and helping drive efficient day-to-day operations. The ideal candidate is highly organized, exercises strong judgment and discretion, and thrives in a fast-paced environment with competing priorities.

 

The Executive Assistant serves as a trusted partner to leadership, managing communications, coordinating complex schedules, and supporting key executive initiatives.

 

Key Responsibilities:

 

Administrative & Executive Support

 

Manage complex calendars, including scheduling meetings and resolving conflicts

Prepare, proofread, and edit correspondence, presentations, reports, and other documents

Handle confidential and sensitive information with professionalism and discretion

 

Communication & Coordination

 

Serve as the primary point of contact between executives, employees, clients, and external partners

Screen, prioritize, and route emails, calls, and messages on behalf of executives

Draft communications and respond to inquiries as delegated

Coordinate internal and external meetings, including agenda creation and follow-up action tracking

 

Travel & Logistics

 

Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries

Process travel expenses, reimbursements, and corporate credit card reports

 

Project & Operations Support

 

Assist with special projects, research, and data collection

Track deadlines, deliverables, and key performance indicators for executive initiatives

Support event planning, including board meetings, leadership retreats, and company functions

 

Qualifications & Skills:

 

Excellent verbal and written communication skills

Strong organizational and time management abilities

Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)

Ability to multitask and adapt to shifting priorities

High emotional intelligence and professional demeanor

Strong problem-solving and critical thinking skills

Proactive mindset with the ability to anticipate needs

Experience in a corporate, nonprofit, or fast-paced environment preferred
