Job Description
ProspectBlue seeks an Administrative Assistant for their client, a family office-type organization in the Richmond area. This individual will play a key role in supporting day-to-day operations, working closely with leadership, and serving as a central point of coordination across internal teams and external partners.
This is a highly visible position within a small, collaborative environment, offering the opportunity to take ownership of a wide range of administrative, operational, and real estate-related responsibilities.
Key Responsibilities
- Provide comprehensive administrative support to leadership, including calendar management, meeting coordination, travel arrangements, and expense reporting
- Draft, format, and proofread correspondence, reports, and presentations with a high level of accuracy
- Support administrative needs related to real estate holdings, including tracking leases, property records, insurance documentation, and key dates
- Coordinate with external partners such as attorneys, accountants, property managers, and other vendors to manage workflows and timelines
- Assist with invoice processing, expense tracking, and coordination with accounting on vendor payments
- Maintain organized filing systems across entities, properties, and key documentation
- Support special projects and ad hoc initiatives across the team
- Identify opportunities to improve processes while maintaining a high level of discretion and confidentiality
Qualifications
- 5+ years of administrative experience in a professional office environment
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities independently and adapt to shifting needs
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and reliability
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
Preferred Experience
- Experience supporting leadership in a small, fast-paced environment
- Exposure to real estate, property management, or working with external vendors
- Experience coordinating with legal, accounting, or other professional service providers
