Opportunity Overview

 

ProspectBlue is leading the search for a Richmond-based investment management firm seeking a highly organized and client-focused Executive Assistant / Client Service Associate to play a key role in supporting our team and delivering an exceptional experience to its clients.

 

This position works closely with the Managing Partner and advisory team and serves as the central hub of our office — coordinating client interactions, supporting operational workflows, and helping ensure the firm runs smoothly and efficiently.

What You'll Do

 

Client Experience & Relationship Support

  • Serve as the first point of contact for clients and visitors, creating a welcoming and professional experience
  • Assist with client onboarding and guide clients through required documentation and account paperwork
  • Support advisors in responding to client requests and ensuring timely follow-up
  • Coordinate client gifts, communications, and other relationship-building touchpoints

 

Operations & Administrative Support

  • Prepare and process client paperwork and account documentation with custodians
  • Maintain accurate client information within CRM and operational systems (Redtail, Orion, Schwab, etc.)
  • Monitor and resolve account alerts such as insufficient cash, rejected wires, or documentation issues
  • Assist with operational processes including asset transfers, ACH requests, and check requests
  • Help improve administrative workflows and identify opportunities for process improvements

 

Office Coordination & Events

  • Maintain office organization and ensure the workspace provides a professional client environment
  • Manage office vendors and supplies, including kitchen and office inventory
  • Coordinate firm events for clients and prospects
  • Maintain internal calendars including firm events, meetings, and team schedules

 

Team Support

  • Assist advisors with client service needs and administrative coordination
  • Support special projects and firm initiatives as needed
  • Help maintain a culture of collaboration, responsiveness, and continuous improvement

Successful candidates typically bring:

 

  • Experience in administrative support, client service, or office coordination.
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Comfort working with technology and CRM systems
  • A proactive mindset with the ability to manage multiple priorities

 

Experience supporting financial advisors or working in wealth management is preferable but not required.

 

Preferred Experience

 

  • Client service or administrative support experience
  • Financial services or wealth management exposure
  • Familiarity with CRM systems such as Redtail or Orion
  • Experience working with custodians such as Schwab
  • Interest in pursuing financial services licensing (Series 66) in the future
