ProspectBlue has partnered with a leading law firm in Richmond, VA seeking a Senior Billing Specialist to join their team. This is a key role in managing and advancing the billing operations for the attorneys. About the Role:
The Senior Billing Specialist is responsible for performing advanced and traditional billing tasks, managing attorney books of business, and serving as a subject matter resource within the billing team. This individual will handle complex billing arrangements, ensure compliance with client guidelines, and support the development of billing specialists across the department.
Key Responsibilities:
Perform all standard billing specialist duties while managing higher-level, complex billing tasks.
Process large volumes of billing with minimal errors, adhering to client guidelines and firm policies.
Handle complex billing arrangements, including alternative fee agreements (AFAs), hybrid billing, consolidated bills, split bills/multi-payors, and insurance billing (deductible invoices).
Maintain a thorough understanding of firm processes and policies, including conflicts, master file set-ups, rates, discounts, accounts payable, trust, and cash receipts.
Serve as back-up for client/matter exception rates and provide expertise on client guidelines.
Proactively identify and resolve billing errors in collaboration with partners, attorneys, and support staff.
Recommend and implement process improvements to reduce inefficiencies.
Monitor unbilled inventory, credits, and trust accounts to ensure timely processing.
Provide requested reporting or analyses to clients, attorneys, and management.
Collaborate with accounting peers and leadership to correct billing and cash receipt discrepancies and coordinate client adjustments/write-offs.
Deliver exceptional service to internal and external clients, vendors, and other stakeholders.
Assist with onboarding and mentoring new team members.
Serve as a key resource on firm-wide and departmental projects, including software implementations.
Perform additional duties as assigned to support the Finance team and firm operations.
Qualifications:
Bachelor’s degree or equivalent work experience in accounting, finance, or related field.
Minimum of 5 years of relevant billing experience, preferably in a mid- to large-size law firm or professional services environment.
Strong proficiency with billing software (Aderant, Elite, or SAP); Aderant experience is a plus.
Advanced Microsoft Office skills, including Outlook, Word, and Excel.
Solid understanding of calculations such as discounts, percentages, and billing rates.
Thorough knowledge of firm and finance policies with the ability to enforce compliance.
Excellent written and verbal communication skills and the ability to interact professionally at all levels.
Strong analytical, critical thinking, and problem-solving abilities.
Highly organized, with the ability to prioritize multiple tasks and adapt quickly to changing priorities.
Self-motivated, responsible, and able to work independently or collaboratively with minimal supervision.
Flexibility to occasionally work outside standard business hours to meet deadlines.
