Job Description

ProspectBlue is currently seeking an experienced Trust & Estate Administrator to join a reputable law firm in Williamsburg, VA. This role involves managing sophisticated trust and estate matters and handling the preparation of associated tax filings.

Key Responsibilities:
Oversee the administration of trusts and probated estates, including drafting legal correspondence and documents, preparing deeds, probate forms, financial spreadsheets, and reviewing bank and financial statements.

Communicate directly with financial institutions such as banks and brokerage firms through phone, email, and in-person meetings.

Prepare advanced estate, fiduciary income, and gift tax returns.

Conduct research on federal, state, and local tax regulations as they pertain to client matters.

Analyze estate planning documents to identify filing obligations and evaluate key provisions.

Collaborate with attorneys and tax professionals across the department to support client needs.

Accurately record daily billable hours and maintain proper documentation.

Required Qualifications:
A Bachelor’s degree in Accounting or a related field is preferred.

At least four years of relevant experience in legal, financial, or accounting environments. Prior work in trust and estate administration or tax preparation is highly valued.

Professional certifications such as CPA, CFTA, or other comparable credentials are a plus.

Strong computer skills, especially in Microsoft Office and Excel; experience with accounting software and CCH ProSystem is advantageous.

Excellent numerical reasoning skills and the ability to develop strategic, client-focused tax solutions.

Comfortable working independently as well as within a team-oriented environment.

Outstanding organizational skills with a proactive, forward-thinking mindset.

Sharp attention to detail, delivering accurate and timely results while managing costs effectively.

Capable of managing multiple tasks, balancing priorities, and meeting deadlines in a fast-paced setting.

Skilled in building strong working relationships with clients, attorneys, colleagues, and external professionals.

Excellent communication skills, both verbal and written.

Highly motivated self-starter with a dedicated work ethic.

Willingness to work additional hours during peak tax periods.
