Job Description

ProspectBlue is partnered with a privately held, multi-location used car dealership that is seeking an experienced Controller to oversee all aspects of accounting and financial operations. This individual will lead daily accounting processes, monthly closings, payroll, tax compliance, and vendor coordination. The ideal candidate will bring deep experience in dealership accounting, a hands-on approach, and a desire to support a family-run business through accurate financial management and team collaboration.

Key Responsibilities

Daily Duties:

  • Print and review daily bank balances for all accounts.
  • Monitor and approve positive pay rejects.
  • Post and prepare daily receipts and deposits.
  • Record daily vehicle fundings across stores.
  • Transfer funds between accounts as needed.
  • Sign checks and distribute incoming mail.
  • Process garnishments and submit 8300 forms.
  • Post wholesale vehicle sales submitted by the office.
  • Review and distribute Sage payment entries.
  • Assist staff with accounting-related questions.
  • Pay credit card and gas card bills as needed.
  • Print and distribute daily DOC report.

Monthly Duties:

  • Reconcile all bank accounts, including payroll.
  • Reconcile finance reserve statements by location.
  • Review and reconcile inventory schedules.
  • Identify and correct posting errors across schedules.
  • Record standard journal entries and adjustments.
  • Process rent and loan payments on schedule.
  • Allocate health insurance costs to employees.
  • Reconcile corporate credit card accounts and post missing entries.
  • Match sales data to DOC reports and review trial balance.
  • Investigate variances and reclassify incorrect postings.
  • Calculate and record commissions, bonuses, and savings contributions.
  • Review and update monthly financial statements and GM reports.
  • File and remit Virginia sales and use tax.
  • Maintain carryover commission logs for sales staff.

Payroll & HR Responsibilities

New Hire Onboarding:

  • Review and complete new hire packets.
  • Set up employees in internal systems and request email accounts.
  • Report new hires to the state.
  • Submit sales licenses and health/dental/vision forms as required.

Bi-Weekly Payroll:

  • Calculate all hourly, salaried, commissioned, and 1099 payments.
  • Process payroll, print checks, and distribute to store locations.
  • Enter and submit 401(k) contributions through provider system.
  • Remit payroll taxes (Federal, FICA, Virginia).
  • Print and mail garnishment checks.

Monthly Payroll:

  • Calculate monthly commissions and bonuses.
  • Complete all payroll tax and 401(k) submissions.
  • Distribute all required payments and garnishment checks.

Quarterly Responsibilities:

  • Prepare and file all required payroll tax filings:
  • 941, 940 FUTA, SUTA
  • Submit Virginia multi-location payroll reports.

Annual Responsibilities:

  • Prepare and submit:
  • Dealer licenses
  • Property tax filings by location
  • Business license renewals
  • Year-end tax prep packages
  • File all payroll year-end forms (W-2s and 1099s to SSA, Virginia, and employees/vendors).

Qualifications

  • Must have prior experience in the automotive dealership industry.
  • Proficiency with dealership accounting software (preferably ASI Autosoft).
  • Extensive experience in payroll processing, reconciliations, and financial reporting.
  • Ability to manage multiple priorities with a detail-oriented approach.
  • Strong team leadership and communication skills.
  • Degree or CPA not required—relevant industry experience is essential.
