ProspectBlue is proud to partner with a mission-driven, community-focused non-profit in their search for an Executive Director of Operations. This is a unique leadership opportunity to oversee and enhance the operational, financial, and administrative aspects of a dynamic and multifaceted organization.

About the Role:

As a key member of the senior leadership team, the Executive Director of Operations will play a vital role in ensuring the organization runs efficiently and effectively in support of its mission. This leader will collaborate closely with program leaders, facilities and administrative staff, committee members, and external partners to provide oversight across financial management, human resources, facilities, and business operations. This role requires a thoughtful, strategic leader who can balance big-picture thinking with operational excellence.

Key Responsibilities:

Financial & Budgetary Oversight

  • Lead the organization’s fiscal operations, including budgeting, reporting, and compliance.
  • Supervise the financial assistant and collaborate with third-party accounting partners (GuideServe).
  • Oversee contributions, accounts payable, payroll, and other transactions.
  • Prepare and manage the annual operating budget in partnership with staff and the Finance Committee.
  • Facilitate the annual audit process and ensure compliance with accounting standards.
  • Monitor budget performance and provide regular financial reports to leadership.
  • Maintain proper banking relationships and fiscal controls.

Administrative & Human Resources Leadership

  • Oversee salary, benefits, and payroll administration.
  • Supervise and support administrative staff and ensure effective office operations.
  • Conduct annual performance reviews for assigned employees.
  • Manage HR-related functions, including staff development, policy compliance, and time-off tracking.

Facilities & Technology Management

  • Provide leadership and oversight of the Director of Facilities and the facilities team.
  • Ensure the proper maintenance, security, and operation of physical assets.
  • Administer service contracts, capital improvements, and property-related expenditures.
  • Oversee technology systems, office equipment, and cybersecurity strategies.
  • Collaborate with the Buildings & Grounds Committee on property needs and improvements.

Support Development Efforts

  • Collaborate on annual giving campaigns by providing financial reporting and donor data.
  • Support planned giving initiatives and work with the Endowment Committee.
  • Oversee processing of bequests and special gifts in coordination with the finance team.

Committee & Board Engagement

  • Serve as a staff representative on the Finance, Buildings & Grounds, and Stewardship Committees.
  • Attend and contribute to Executive Committee meetings.

Qualifications:

  • Executive-level experience in business, operations, or non-profit administration.
  • Proven leadership and management experience with strong team oversight capabilities.
  • Financial acumen and experience managing budgets, audits, and accounting systems.
  • Strong communication, organizational, and problem-solving skills.
  • Experience managing human resources and administrative functions.
  • Familiarity with facilities management, vendor relations, and IT oversight.
  • Experience in mission-driven organizations is a plus but not required.
