The Doherty Real Estate Group, a top-producing, community-focused real estate team in Mission Viejo, CA, is seeking a tech-savvy real estate assistant to drive operational excellence. We’re looking for a dynamic and tech-savvy professional who can lead virtual assistant teams, refine systems, manage high-impact projects, oversee the entire sales cycle, manage deal flow, and provide exceptional client care, all while supporting our lead agents in a values-driven, fast-paced environment.
This remote position is ideal for an experienced Real Estate Executive Assistant with 3+ years supporting top-producing real estate teams. We also welcome candidates with comparable experience in real estate–related industries, such as providing high-level support to mortgage lenders. In this role, you’ll oversee virtual assistants, optimize systems and processes for maximum efficiency (leveraging AI when possible—whether through your own technical skills or by managing communication and execution), and lead complex projects from start to finish. You’ll also ensure every client interaction is seamless, all while working standard PST business hours (8 AM – 5 PM).

What You’ll Do
Executive Administrative Support: Provide comprehensive support by managing high-level communications, coordinating complex schedules, supporting the real estate sales cycle, and ensuring exceptional client care. You’ll clear distractions and protect lead agents' time to keep them focused on revenue-generating activities.
Strategic Operations & Performance: Partner with leadership to drive strategic initiatives, optimize workflows, and enhance systems with AI integration. Monitor and report critical metrics—cost per referral, appointments, and clients—daily through quarterly to ensure goal alignment and results.
VA Team Leadership: Oversee a team of 4–10 virtual assistants whose primary role is to support you and the team with lead follow-up, marketing, transaction management, document management, vendor management, and scheduling. You’ll be responsible for onboarding, training, and developing VAs—delegating tasks effectively, ensuring quality control, and guiding their growth from handling basic administrative work to managing more complex responsibilities such as marketing and transaction coordination.
System Management & Tech Integration: Manage CRMs, task platforms, and AI tools while troubleshooting issues and implementing new technologies to streamline operations and reduce manual work.
Real Estate Operations: Review seller disclosures, draft contracts providing guidance, and manage closing coordination tasks. Serve as secondary contact for agents, ensuring marketing efforts and follow-ups are handled effectively. As new agents are brought onto the team, you will support them by providing them with the tools they need to succeed.
Communication & Accountability: Maintain clear team communication through Slack and Zoom, handle meeting follow-ups, and ensure action items are tracked and completed across all initiatives.
Event Planning: From supporting your team with buyers and sellers, prepping your team for open houses and community engagement events, you ensure every detail is handled with care and that your agents consistently receive 5-star reviews.

The Details:
Location: The business is located in Mission Viejo, CA. Remote anywhere in the USA, and you must be available to work PST hours.
Schedule: Full-time, Monday–Friday, 8 a.m. – 5 p.m., with some evening and rare occasional weekend flexibility. You must have a workplace free from distractions.
Salary: $75,000-$120,000 in addition to profit sharing
