Job Description

This is the kind of tight-knit, stable environment where loyalty is appreciated, hard work is recognized, and consistency is the norm—not the exception. If you're looking for a long-term, stable opportunity with a well-established real estate professional, this could be the perfect role for you!

Robert Colello is a top-producing agent known for delivering exceptional service and building a business almost entirely through referrals and repeat clients. With a reputation for integrity and results, he’s now looking for an administrative leader to keep his operation running seamlessly.

This role is ideal for someone with an active CA real estate license and 2 or more years of experience supporting agents in a similar capacity.

Candidates seeking this position as a stepping stone for sales - this is not the opportunity for you.

About the Role

As Robert’s right hand, you’ll be stepping into a pivotal role where your ability to anticipate needs, communicate clearly, and take ownership will directly impact the client experience and overall efficiency of the business. From managing listings and supporting buyers to overseeing schedules and coordinating vendors, you’ll ensure operations stay on track while Robert focuses on serving clients and expanding further into the speaking circuit and investment opportunities.

Who You Are

  • You’re looking for stability and growth in a well-run, established business.
You anticipate needs, connect the dots quickly, and lead with confidence—even when juggling multiple projects.
You’re a natural delegator with experience managing others or moving pieces around to get the job done.
You keep things tight and tidy—calendars, inboxes, systems, and timelines.
You love helping people and know how to maintain professionalism, even when things get hectic.

Must-Haves

  • An active CA real estate license
  • 2+ years of experience in a similar role supporting a busy real estate agent or team in a similar capacity

Key Attributes

Organizational Mastery: Stay on top of tasks, manage schedules seamlessly, and keep everything running smoothly.

Clear and Effective Communication: Strong written and verbal communication skills for both internal and external interactions.

Quick Thinking & Problem-Solving: Approach challenges with a solutions-first mindset and adapt on the fly.

Agility & Adaptability: Thrive in dynamic environments, shifting priorities with ease.

Tech-Savvy: Skilled in Microsoft Office Suite, Google Workspace, project management tools, and a variety of CRMs.

Trusted with Confidentiality: Handle sensitive information with the highest level of discretion and professionalism.

What You’ll Do

Calendar & Inbox Management: Keep your agent’s day on track and their priorities clear. You’ll be their gatekeeper, time manager, and reminder system.

Listing Management: From contract to close, you’ll take full ownership of the listing process—coordinating vendors, prepping homes for market, managing showings, and keeping marketing on point.

Client Care: Introduce yourself as the main point of contact and make sure no detail is missed. You’ll bring a concierge-level service approach to every transaction.

Database & Lead Follow-Up: Keep the CRM organized, up to date, and make sure no lead falls through the cracks.

Buyer Support & Transaction Coordination: Help manage the timeline, showing schedules, repair requests, and communication flow so deals move forward smoothly.

Event Planning: Step in to coordinate pop-up open houses or client appreciation events, occasionally outside of regular business hours.
