In the role of Eva's Executive Assistant, you will be instrumental in delivering top-notch care and attention to the home sellers under her guidance.

This role’s scope might justify a high-impact title—perhaps Director of Listings, Transactions, and Client Care. The team is prepared to offer a Director-level title tailored to the skills and experience of the ideal candidate.

Responsibilities:

This is a multi-dimensional role for someone with a real estate license and experience supporting a top-producing agent or team for two or more years.

As the Executive Assistant, you will be the cornerstone of the client experience, ensuring every client enjoys a five-star level of care and that every transaction is executed flawlessly. Your role will involve managing client interactions, coordinating complex real estate transactions, and overseeing the day-to-day operations of the business to ensure everything runs like clockwork.

  • Manage Communication and Client Relations:
    • Handle all incoming calls and manage the principal’s inbox with a high level of organization and discretion.
    • Serve as the primary point of contact for clients, providing prompt updates, thorough answers, and effective solutions to ensure an exceptional client experience.
  • Calendar and Team Coordination:
    • Manage the principal’s calendar, scheduling appointments and meetings while ensuring all priorities are addressed.
    • Delegate tasks effectively to 4+ team members, ensuring alignment with listing and escrow assignments.
  • Oversee Real Estate Operations:
    • Manage the full lifecycle of real estate transactions, including listings, marketing, escrows, and database management, to optimize lead follow-up and client retention.
    • Oversee the preparation and launch of properties to market, working closely with the Listing Manager and Marketing Director to bring 3–5 luxury listings to market each week with meticulous attention to detail.
  • Collaborate Across Departments:
    • Act as a liaison between the principal and key departments, including listings, closings, marketing, operations, and sales, to ensure cohesive communication and workflow.
    • Distribute information on behalf of the principal and delegate tasks to team members and departments as needed.
  • Agent and Workflow Management:
    • Monitor the lead agent’s outstanding communications, projects, and tasks, providing timely reminders and actionable follow-ups to keep initiatives on track.
    • Support the principal with strategic initiatives, client outreach, and maintaining a consistent standard of excellence across the team.
  • Client and Vendor Engagement:
    • Assist with vendor walkthroughs, open houses, client showings, and occasionally attend home inspections on behalf of the principal.
    • Coordinate buyer and seller showing appointments to facilitate a seamless experience for all parties.
    • Attend listing appointments to take detailed notes and record video walkthroughs for team reference and marketing purposes.
    • Oversee the team’s online review request process and provide a weekly report on the status of each request.

You will lead and work alongside a team of A-players, including experienced listing coordinators, transaction managers, marketing professionals, and licensed assistants, to consistently deliver excellence to clients and stakeholders.

Qualifications:

We’re looking for an organized, proactive, and resourceful professional with a background in real estate and a passion for delivering superior service.

  • Experience: 5+ years supporting a high-producing real estate agent or team in a fast-paced, high-pressure environment.
  • Education/License: An active CA real estate license is required
  • Software Proficiency:
    • MLS/CRMLS
    • Asana, Monday.com, or similar operating systems
    • ZipForms, CAR Forms
    • CRM tools (e.g., Salesforce, Follow Up Boss, or similar)
    • Transaction management platforms (e.g., Dotloop, Skyslope)
    • Microsoft Office Suite and Google Workspace
  • Soft Skills:
    • Outstanding communication and interpersonal skills.
    • Extreme attention to detail and a “nothing falls through the cracks” mentality.
    • Ability to juggle multiple priorities and meet tight deadlines.

The Details:

Salary: $150,000-$170,000

Benefits: Paid time-off, sick leave, health care monthly stipend

Hours: Full-time, 40+ hrs/week M-F, flexibility on weekends and evenings required

Location: Pasadena, CA

Candidates MUST live within a 40-minute commute of the 91101 zip code and MUST have their own car, a valid driver’s license, and carry insurance.
