About the Company

Our client is a global engineering and procurement organization serving the energy, infrastructure, and industrial sectors. They specialize in the international sourcing and distribution of industrial materials and components for large-scale projects.

This is a great opportunity to join a collaborative operations team that manages international logistics across multiple continents, ensuring the smooth and compliant movement of goods to customers throughout North America and beyond.

The Opportunity

As a Logistics & Operations Coordinator, you’ll play a key role in managing end-to-end import logistics, working closely with global suppliers, freight partners, and customs brokers. You’ll be part of a small, highly engaged team responsible for coordinating international shipments, maintaining compliance with import regulations, and ensuring on-time delivery to customers.

This position is best suited for someone who thrives in a dynamic, detail and family oriented environment and enjoys solving complex logistics challenges with a global mindset.

Key Responsibilities

Import Coordination & Documentation (approx. 50 containers/month)

  • Source and compare quotes for ocean and air freight, transloading, and local delivery services.
  • Coordinate international shipments with vendors across Asia and Europe (e.g., Taiwan, China, India, Italy).
  • Compile, verify, and submit import clearance documentation to U.S. and Canadian customs brokers.
  • File and track Importer Security Filings (ISFs) accurately and on time.
  • Monitor and track shipments (FCL/LCL) via freight portals, forwarders, and carriers; maintain accurate shipment status records.
  • Prepare and distribute final shipping documentation packages.

Trade Compliance & Tariff Management

  • Monitor and manage U.S. import tariffs (including ADD/CVD cases) and maintain awareness of new investigations, yearly reviews, and sunset reviews.
  • Perform routine checks on base duty rates and communicate any updates to internal stakeholders.
  • Follow up on Canadian import quotas (TRQ) and submit permit requests in a timely manner.

Operations & Administration

  • Manage billing, invoicing, and shipment entries within the enterprise system (Epicor Prophet 21 or similar).
  • Verify and reconcile service provider invoices (freight, brokerage, logistics).
  • Support non-conformance report resolution, including investigation and issuance of credits or adjustments.
  • Analyze freight market data (e.g., Drewry Index) and report on industry trends.
  • Contribute to process improvement initiatives and maintain updated SOPs.
  • Provide backup administrative support to the operations team as needed.

Skills & Qualifications

  • Minimum 3+ years of experience in North American ocean import logistics, including hands-on experience managing U.S. import tariffs and ADD/CVD compliance.
  • Exposure to air freight and South American imports considered an asset.
  • Strong understanding of import/export processes, customs documentation, and freight coordination.
  • High degree of accuracy, organization, and accountability.
  • Strong written and verbal communication skills; able to interact effectively with suppliers, carriers, and internal teams.
  • Intermediate to advanced proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems such as Epicor Prophet 21 is an asset.
  • Excellent problem-solving skills and the ability to manage multiple priorities.
  • Post-secondary education in Supply Chain, Logistics, International Business, or a related field preferred.
  • Must be legally eligible to work in Canada (Canadian Citizen or Permanent Resident).

Why Join

  • Join a globally connected, close-knit team that values precision, collaboration, and accountability.
  • Gain exposure to international logistics and trade compliance in a respected, growing organization.
  • Work on meaningful projects supporting critical industries across North America and beyond.
  • Stable, full-time role with professional growth opportunities.
