About the Role:

We’re seeking a highly organized and detail-oriented Project Coordinator to support our New Construction team. You’ll play a critical administrative role assisting the Vice President of New Construction and Project Managers by coordinating schedules, managing construction documents, handling permitting processes, and ensuring smooth project operations. Ideal candidates are tech-savvy, proactive, and experienced in the construction industry.'

Key Responsibilities:

  • Provide administrative support to the VP of New Construction and Project Managers
  • Answer and direct incoming calls, handle inquiries professionally
  • Manage Procore and ShareFile platforms
  • Index, organize, and maintain digital and physical job files
  • Assist with blueprint and fixture schedule reviews, including counting and ordering fixtures
  • File NC Lien Agent notices, request permits, and schedule inspections
  • Maintain bid schedule and manage subcontractor database
  • Request and update Certificates of Insurance (COIs) for clients and vendors
  • Issue master agreements, submittals, work orders, and close-out documents
  • Prepare and distribute safety documentation and jobsite paperwork
  • Coordinate project start-up and job initialization procedures
  • Maintain current Notary Public commission
  • Support general office operations and cross-train other staff as needed
  • Perform other administrative duties as assigned

Qualifications:

  • Education: High school diploma required; college degree preferred
  • Experience: Minimum 5 years in an administrative role within the construction industry
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Proficiency in construction technology platforms such as Procore, ShareFile, and basic blueprint comprehension
  • Excellent time management, problem-solving, and communication skills
  • Professional phone and in-person demeanor
  • Self-motivated, adaptable, and able to work independently
  • High degree of integrity, confidentiality, and professionalism

Preferred Skills:

  • Familiarity with permitting processes, lien filings, and construction safety documentation
  • Knowledge of fixture schedules and blueprint reading
  • Experience supporting project management in a fast-paced construction environment
