Job Description

PRIMARY FUNCTION:

Provides administrative support requiring broad and comprehensive experience, skill and knowledge of Construction, Electrical and company policy and practices. Reports directly to the SC Office Manager and SC General Manager. Will be working with SC Project Managers to provide assistance in the tasks they need to complete.

POSITION RESPONSIBILITES:

Primary responsibility is billing related to service work performed by the SC office.  Will be equally responsible for assisting in all other areas of office administration including but not limited to:

  • Working with invoices and billing for job site projects as well as service
  • Communicating with vendors and contractors about any issues that arise from accounts payable or receivable
  • Working with field employees regarding payroll, Human Recourse/Employee Relations issues, transferring between projects, living quarters and scheduling
  • Processing project contracts and making necessary changes and updates
  • Coordinating meetings including preparing meeting materials, coordinating catering and sending meeting appointments via Outlook as needed
  • Reviewing and prioritizing incoming requests from guests and employees to meet deadlines
  • Maintaining appropriate records, files, databases and documentation electronically and with hard copies as needed
  • Answering and screening telephone calls, taking messages, providing information and redirecting calls
  • Working independently to perform advanced, diversified and complex administrative duties
  • Providing a high level of customer service
  • Assisting in any project related work that is needed
  • Faxing, filing, scanning and other clerical duties
  • Receiving and directing visitors
  • Preparing, composing and initiating correspondence, memoranda, presentation materials and reports
  • Scheduling and maintaining calendar of appointments, meetings, travel itineraries, and coordinating related arrangements
  • Developing queries; generating and distributing reports
  • Overseeing client entertainment and event coordination
  • Assisting management with the development of presentations and speeches

POSITION REQUIREMENTS: 

  • High school graduate, G.E.D., or equivalent studies/experience (preferred)
  • Ability to communicate effectively with individuals at all organization levels, including senior management
  • Demonstrated knowledge of clerical and administrative procedures
  • Strong mathematical skills
  • Proven work experience in accounting, banking, finance or related field
  • Ability to maintain a high degree of confidentiality
  • Knowledge of customer service principles and practices
  • Excellent communication skills and professional personal presentation
  • Demonstrated aptitude for organizing, planning, and customer service
  • Strong attention to detail
  • Ability to perform under pressure to meet strict deadlines
  • Previous experience working in construction or a related industry preferred but not required
