Location: Houston, TX 77099 (In-Office, Full Time)

Position Summary

We are seeking a dependable and detail-oriented Administrative Assistant / Bookkeeper to support a growing oilfield services organization operating under a multi-entity management company structure. This role will primarily support Accounts Receivable (A/R) and Accounts Payable (A/P) functions, including purchase order (PO) processing, while also handling general office and administrative responsibilities.

The ideal candidate is highly organized, accurate, and comfortable working with multiple companies, shared resources, and intercompany activity.

Key Responsibilities

Accounting & Bookkeeping Support

  • Process and manage Accounts Payable, including vendor invoices, coding, PO matching, and payment preparation
  • Support Purchase Order (PO) creation, tracking, and reconciliation with invoices
  • Manage Accounts Receivable, including invoicing, payment posting, and follow-up as needed
  • Maintain accurate financial records across multiple legal entities
  • Assist with intercompany transactions and allocations
  • Support monthly reconciliations and reporting
  • Coordinate with management and external bookkeeping/accounting partners

Administrative & Office Support

  • Provide general administrative support for office and field operations
  • Answer phones, manage emails, and assist with daily office needs
  • Maintain organized digital and physical filing systems
  • Assist with onboarding paperwork and basic HR administrative tasks
  • Order office supplies and coordinate with vendors
  • Support leadership with clerical and operational tasks as needed

Qualifications

  • 2+ years of experience in bookkeeping, accounting support, or administrative roles
  • Strong understanding of Accounts Payable and Accounts Receivable processes
  • Experience working with Purchase Orders (POs) strongly preferred
  • Experience supporting multiple entities or complex organizational structures is a significant plus
  • Proficiency with accounting software (QuickBooks or similar)
  • Strong attention to detail and organizational skills
  • Ability to manage confidential information professionally
  • Comfortable working full-time in-office

Preferred Experience

  • Oil & gas, construction, or field services industry experience
  • Exposure to intercompany accounting and shared services environments

Work Environment

  • Fast-paced office supporting field operations
  • Hands-on role requiring accuracy, accountability, and flexibility
