They're seeking a Service Writer to add to their team in the Odessa, TX area!

Mission of the Position

The Service Writer serves as a key customer-facing role, ensuring prompt, professional, and knowledgeable support for both external and internal customers. This position supports sales, service, and warehouse operations by assisting customers with product inquiries, processing orders, coordinating service tickets, and maintaining accurate inventory and billing records. The Service Writer works closely with technicians, warehouse staff, and branch teams to deliver a high level of customer service while ensuring all activities are performed in a safe, timely, and efficient manner.

Essential Duties

Customer Service & Sales Support

  • Promptly assist all external and internal customers (via walk-in or phone); answer the telephone professionally.
  • Provide information about company products and answer any customer questions.
  • Follow up on customer orders, resolve issues that may arise, and respond in a timely manner.
  • Effectively communicate policies and procedures regarding purchases, returns, credit terms, etc.
  • Build and maintain positive relationships with repeat customers to support ongoing business.
  • Assist with preparing quotes or estimates for customers when needed.

Order Processing & Data Entry

  • Accurately write up service tickets and ensure all necessary details are captured.
  • Assist with all rental equipment requests, including documentation and coordination.
  • Enter and retrieve data in the computer system, including customer orders, branch transfers, inventory information, and pricing.
  • Ensure accuracy of customer orders before processing to prevent errors.
  • Generate and maintain required paperwork and documentation for transactions.
  • Process service order billing and ensure all charges are accurate and properly coded.

Product & Inventory Knowledge

  • Stay informed and educated on product inventory and applicability; continuously update product knowledge through available resources.
  • Know the location of merchandise in the warehouse.
  • Report back orders and/or material discrepancies.
  • Accurately perform cycle counts as required.
  • Monitor low-stock items and alert supervisors of replenishment needs.

Warehouse & Logistics Support

  • Accurately fill customer orders as needed.
  • Safely load and unload trucks as needed.
  • Check in and put away products and material, verifying quantities accurately.
  • Maintain clear aisles and walkways.
  • Assist in organizing the warehouse to ensure efficiency and safety.
  • Coordinate with drivers and logistics staff to ensure timely deliveries and pickups.

Additional Responsibilities

  • Assist mechanics with quoting and looking up parts for service jobs.
  • Perform additional duties as assigned.

Experience:

  • Minimum of 3 years of warehouse, counter sales, or service support experience, required.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Experience with order entry, billing, or ERP systems, preferred.

Education:

  • High school diploma or general education degree (GED), required.

Certifications & Licenses:

  • This position does not have any certification or license requirements.

Skills:

  • Excellent verbal and written communication skills.
  • Strong customer service skills with a professional and friendly demeanor.
  • High attention to detail and accuracy in data entry, billing, and order processing.

Talents:

  • Ability to understand part numbers, technical descriptions, and service orders.
  • Strong organizational and time management skills; ability to prioritize in a fast-paced environment.
  • Ability to work collaboratively with technicians, operations staff, and warehouse personnel.
