Job OverviewThe Document Control Specialist (Temporary) supports the Engineering function by managing, organizing, and maintaining both physical and digital technical documentation across Cooper product lines. This role is responsible for ensuring accurate, accessible, and well-structured documentation to support operations, engineering, field service, and customer needs.
This position requires deep experience in document control practices, including working across multiple document management systems, digitization of legacy records, and maintaining data integrity across platforms. The role will play a key part in modernizing document workflows while continuing to support a large physical archive of manuals, schematics, and historical records.
This role requires hands-on experience converting large volumes of archived physical records, including paper files and microfiche, into structured, searchable digital formats while maintaining document integrity and accuracy.
Key Responsibilities
- Maintain and organize a comprehensive document library, including physical records (manuals, schematics, microfiche) and digital files
- Respond to internal and external requests for technical documentation in a timely and accurate manner
- Lead the conversion of archived physical records into digital formats, including scanning, indexing, and quality validation
- Digitize and organize legacy documents (paper, microfiche, large-format drawings) into structured electronic repositories
- Apply consistent metadata, naming conventions, and indexing standards to ensure documents are searchable and easily retrievable
- Perform quality checks on digitized files to ensure completeness, clarity, and accuracy
- Identify and resolve issues with damaged, incomplete, or difficult-to-convert archival materials
- Create, format, and update electronic instruction manuals and technical documentation for compression equipment
- Ensure document accuracy, version control, and proper naming/filing conventions across systems
- Support the creation and assembly of documentation packages for new production units and legacy equipment upgrades
- Retrieve and validate technical data such as part numbers, bills of materials, and specifications from systems (e.g., SAP or similar ERP platforms)
- Collaborate with Engineering, Field Service, and Operations to ensure documentation aligns with current equipment configurations and standards
- Manage document workflows across multiple platforms (e.g., ERP systems, SharePoint, document repositories)
- Track, maintain, and audit document records to ensure compliance with internal standards and quality requirements
- Operate scanning, printing, and reproduction equipment, including wide-format printers
- Support continuous improvement of document control processes, including digitization and system optimization efforts
- Perform additional duties as assigned
Required Qualifications
- High School Diploma or GED required
- Minimum of 7+ years of experience in document control or records management, including significant hands-on experience digitizing and converting archived records (paper, microfiche, or large-format documents) into electronic systems
- Proven experience managing high-volume document scanning, indexing, and digital file structuring
- Demonstrated experience working across multiple document management systems (e.g., SAP, SharePoint, ERP systems, or similar platforms)
- Strong proficiency in Microsoft 365 (Word, Excel, Outlook) and Adobe Acrobat (document formatting, bookmarking, merging)
- Experience managing both physical and digital document environments
- Strong attention to detail with excellent proofreading and quality control skills
- Ability to organize, prioritize, and manage high volumes of documentation with minimal supervision
Preferred Qualifications
- Experience with SAP (R/3 or similar ERP systems) for document and data retrieval
- Familiarity with SharePoint or other document repository systems
- Experience supporting document digitization or archive modernization initiatives, including backlog conversion projects
- Experience digitizing microfiche and large-format engineering drawings
- Knowledge of oil & gas compression equipment, including 2-cycle and 4-cycle engines
