Job Description
Our client is seeking a Payroll Administrator to join their Accounting team and play a vital role in ensuring that our employees are paid accurately and on time. In this role, you will oversee the end-to-end payroll process, maintain compliance with all tax and reporting requirements, support month-end close activities, support monthly state sales tax filings, and serve as a trusted partner to Human Resources. You’ll be the go-to expert for payroll accuracy and integrity, contributing to a positive employee experience and smooth financial operations in our dynamic manufacturing environment.
What You’ll Do:
Payroll Processing & Compliance
- Manage accurate and timely bi-weekly payroll for 500+ employees, including hourly, salaried, and contract staff with manufacturing shift differentials.
- Ensure compliance with all federal, state, and local payroll regulations, including withholding, reporting, and remittance requirements.
- Maintain accurate records of wages, deductions, and taxable benefits while adhering to confidentiality and security standards.
- Process and verify employee deductions for benefits, garnishments, and retirement contributions.
- Coordinate with external auditors, tax authorities, and HR partners during payroll audits and compliance reviews.
Accounting Operations & Reporting
- Prepare payroll-related journal entries, reports, and reconciliations for month-end and year-end close.
- Support accounts receivable by managing employee deductions, advances, and reimbursements.
- Collaborate with the Controller to ensure accurate payroll and bonus accruals and general ledger postings.
- Prepare and distribute periodic reports on labor costs, headcount, and payroll summaries to support management decision-making.
- Support preparation of quarterly and annual tax filings, including Forms 941, 940, and W-2 distribution.
- Support preparation and filing of state sales tax returns.
- Support year-end W-2s and 1099s preparation and distribution.
- Support ad-hoc accounting projects and audits.
System Administration & Process Improvement
- Maintain and troubleshoot the payroll system (ADP Workforce Now), ensuring data accuracy and integration with HRIS and finance systems.
- Partner with HR to onboard new employees, set up payroll accounts, and explain pay and benefit deductions.
- Identify opportunities for automation and process improvement to increase efficiency and reduce errors.
- Assist in developing and updating payroll policies and procedures in response to company growth or regulatory change.
Employee Support
- Respond promptly and professionally to employee payroll inquiries, ensuring positive communication and issue resolution.
- Educate managers and employees on payroll timelines, policies, and shift differential procedures.
- Collaborate with HR to ensure seamless communication on pay adjustments, promotions, and terminations.
What You Bring:
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related field.
- 7+ years of payroll experience, preferably in a manufacturing or mid-sized company environment.
- Experience managing multi-state payroll and shift differential calculations.
- Proficiency with ADP Workforce Now.
- Working knowledge of accounts receivable processes, payroll accruals, and state sales tax compliance.
- In-depth understanding of payroll tax laws, FLSA, and accounting principles (G.A.A.P.).
- Advanced Excel and data analysis skills.
