The Role
We are seeking a dynamic and organized Bilingual Leave & Benefits Coordinator to act as a key frontline resource for employee lifecycle operations across Canada. Reporting directly to the Director of Canadian Benefits, you will deliver high-quality, employee-centric support in both English and French from onboarding through offboarding. In this position, you will serve as the primary point of contact for workforce members, management, and HR teams navigating benefits administration and leave of absence procedures.
Key Responsibilities
Benefits & Retirement Operations
- Plan Administration: Oversee the day-to-day administration of comprehensive group benefits and retirement programs, ensuring alignment with provider agreements and established internal workflows.
- Inquiry Resolution: Address and resolve bilingual inquiries from team members and leadership regarding insurance plans and retirement portfolios with exceptional professionalism.
- Education & Onboarding: Conduct bilingual orientation modules for new hires, develop clear employee-facing communication resources, and assist with localized open enrollment materials for Quebec-based staff.
- Data Integrity & Compliance: Conduct regular data audits between internal HR systems (HRIS) and insurance carrier platforms to verify accurate coverage, while supporting year-end tax reporting and system updates.
- Vendor Liaison: Partner closely with third-party insurance providers and internal collaborators to streamline case details and resolve complex claims-related issues.
Leave Administration
- Case Intake & Management: Handle the frontline intake and document workflows for disability and leave files, facilitating timely processing and comprehensive return-to-work planning.
- Premium Collections: Coordinate and process bi-weekly premium collections for members on active leave to maintain continuous coverage in accordance with carrier policies.
- Specialist Support: Collaboratively assist Senior Leave Specialists with complex case files, ensuring organized record-keeping and full compliance with national and provincial labor standards.
Qualifications
- Language Fluency: Fully bilingual with exceptional written and verbal communication skills in both English and French.
- Education: A post-secondary degree or diploma in Human Resources, Business Administration, or a closely related discipline (or equivalent blended practical experience).
- Experience: A minimum of one year of progressive experience managing Canadian benefits, disability programs, or general HR operations.
- Technical Savvy: Proficient with MS Office (especially utilizing Excel for data audits and tracking); prior experience navigating Workday HRIS is strongly preferred.
- Regulatory Knowledge: Sound comprehension of regional and federal labor legislation, including ESA guidelines, human rights accommodation protocols, and Quebec-specific employment frameworks.
- Core Competencies: Excellent organizational, problem-solving, and communication skills, with a proven ability to discreetly manage sensitive, confidential information within a fast-paced, collaborative matrix structure.
