About the Role: We are a growing wealth advisory team managing over $300M in assets, seeking a highly organized and proactive Wealth Client Experience & Operations Associate to support two advisors in delivering a seamless, high-touch client experience. This role is ideal for a detail-oriented professional with strong administrative and technical skills, a passion for operational excellence, and a solid understanding of financial services. You'll play a pivotal role in coordinating client onboarding, managing daily operations, supporting the sales process, and helping us continuously improve how we serve our clients. This is an in-office role with a fast-paced team that values precision, accountability, and client-first thinking. Key Responsibilities:
Client Onboarding & Relationship Support
Coordinate the onboarding process for new wealth clients, ensuring a smooth and compliant experience.
Manage advisor calendars, schedule client meetings (monthly, quarterly touchpoints), and understand meeting context to optimize preparation.
Participate in client meetings, take notes, and manage post-meeting follow-ups and action items.
Assist with completion and submission of new business applications (RRSPs, TFSAs, mutual funds, individual life policies).
Help enforce advisor accountability by tracking deliverables and follow-ups.
Administrative & Operational Efficiency
Lead administrative tasks related to client service and internal coordination.
Support sales process management and documentation.
Continuously assess and improve operational processes to drive efficiency.
Work closely with advisors to streamline and document best practices for scale.
Technology & Data Management
Use Microsoft Dynamics CRM to manage client data and track activities.
Leverage Excel (pivot tables, macros, formulas) for reporting and data analysis.
Qualifications:
3+ years of administrative or operations experience in a financial services, insurance, or wealth management environment.
Proficiency in Microsoft Office, especially Excel; experience with Microsoft Dynamics CRM is preferred.
Strong organizational and time-management skills with the ability to juggle multiple priorities.
Exceptional attention to detail and follow-through.
Excellent communication and interpersonal skills.
Understanding of wealth products (mutual funds, RRSP, TFSA) and/or insurance (individual life, Critical Illness, Disability, etc.) is a strong asset.
Financial acumen and the ability to understand meeting agendas and product discussions are a plus
Compensation: $80,000 + 10% bonus + benefits
