Job Title: Assistant Property Manager

Our client, a leading commercial property management firm, is seeking a proactive and detail-oriented Assistant Property Manager to support operations at a Class-A commercial property. This role requires a hands-on professional with strong organizational skills and a passion for delivering exceptional tenant service and operational efficiency.
Support daily operations of the property, including janitorial, life-safety, engineering, site services, and maintenance functions, in alignment with internal policies and client expectations.
Manage and maintain the Angus Anywhere Tenant Request Portal: monitor requests, dispatch work orders, follow up on completions, and produce monthly chargeback reports.
Conduct regular inspections of the property’s interior and exterior areas; promptly address deficiencies or escalate issues to Operations and General Management.
Collaborate with Building Operations to ensure the Building Energy Management System operates optimally, working alongside third-party consultants.
Act as a back-up to the Property Administrator for invoice processing in Nexus, ensuring accurate coding and cost allocations, and maintaining logs for contracts and capital expenditures.
Assist with rent cheque deposits and financial entries in JDE (e.g., applying rent, posting deposits), and support tenant account reconciliation and AR collections.
Draft and distribute tenant communications in coordination with the General Manager, aligned with company branding and client directives.
Maintain and update service contracts: tendering, reviewing pricing, and verifying invoices.
Assist in preparing quarterly property management reports, including financial variance analysis and stacking plans.
Conduct monthly janitorial inspections with service providers; document and follow up on deficiencies in the Hallmark Quality Orange system.
Coordinate applications for industry awards such as BOMA and CREST.
Ensure high standards of tenant engagement and service delivery; proactively address tenant concerns and track KPIs such as response times.
Support environmental compliance in accordance with legislation and corporate best practices.
Monitor tenant/vendor insurance compliance and coordinate insurance claims.
Contribute to annual operating budget development, reforecasting, and capital planning including multi-year facility improvement initiatives.
Support additional administrative and property management tasks as required by the General Manager.
2+ years of experience in commercial property or real estate management.
Strong knowledge of property management systems such as Angus Anywhere, Nexus, and JDE.
Excellent communication and organizational skills with an ability to prioritize and multi-task in a dynamic environment.
Strong proficiency in Microsoft Excel; experience with financial reporting and variance analysis is an asset.
Familiarity with building systems, service contracts, and tenant engagement strategies.
Ability to work collaboratively across teams and with third-party vendors/consultants.
