Client Profile
Our client, a top-tier Toronto law firm, is currently seeking a Corporate Legal Executive Assistant to join its growing team. Duties & Responsibilities
- Provide executive-level support, including managing complex calendars, coordinating meetings, appointments, and travel arrangements
- Act as a liaison between lawyers, clients, and external stakeholders
- Prepare, draft, revise, proofread, and transcribe correspondence, legal documents, and other communications
- Prepare engagement letters and client correspondence
- Organize, open, maintain, and close client files
- Manage electronic document organization within the firm's document management system
- Assist with corporate legal operations, including maintaining corporate databases and ensuring accurate record keeping
- Prepare closing books and other transactional documentation
- Coordinate web meetings and other client-facing events
- Prepare and deliver monthly invoices, oversee lawyer billings, post dockets, and follow up on outstanding accounts
- Prepare internal and external communications, including letters, emails, and memoranda
- Manage physical and electronic file preparation and maintenance
- Assist with digital filing and document management processes
- Perform additional administrative and legal support duties as assigned
Requirements
- Minimum 2 years of experience as a Corporate Legal Assistant or Executive Assistant within a legal environment
- Successful completion of a Legal Assistant, Law Clerk, Paralegal, or Business Administration diploma program
- Experience working in a corporate legal department or prominent law firm is considered an asset
- Corporate law experience is preferred but not required
- Advanced proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
- Experience with DocuSign, document management systems, and MinuteBox
- Experience with Aderant accounting software is considered an asset
- Strong understanding of billing processes, legal document preparation, and file management
- Excellent verbal and written communication skills
- Exceptional organizational, time-management, and multitasking abilities
- Ability to maintain professionalism, confidentiality, and discretion at all times
- Strong attention to detail and ability to work independently in a fast-paced environment
