Our client, a leading law firm, is seeking an experienced Litigation Assistant - Employment to join its team. This is an excellent opportunity for a detail-oriented legal professional who thrives in a fast-paced environment and enjoys supporting lawyers on employment litigation, tribunal, and regulatory matters. The successful candidate will possess strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities while delivering outstanding client service.
Duties & Responsibilities
- Assist with the preparation and assembly of litigation, tribunal, and court documents, including electronic filings;
- Assist with the preparation and assembly of information response filings for administrative audits and investigations;
- Prepare protected and public versions of confidential documents for tribunal filings, including redaction of confidential information;
- Convert Microsoft Word and Excel documents into Adobe PDF format;
- Coordinate with process servers regarding service and filing of court materials;
- Coordinate with tribunal and court offices regarding hearings, motion bookings, and related filings;
- Draft and revise correspondence and other documents, including memos, letters, emails, reports, presentations, court forms, and court documents;
- Proofread and edit all work product to ensure accuracy, completeness, proper formatting, spelling, and grammar;
- Act as a liaison between lawyers and internal and external contacts regarding file progression and related matters;
- Assist with practice management, including opening and closing files, scheduling meetings, coordinating travel, and arranging accommodations;
- Organize and maintain electronic and paper client filing systems;
- Provide administrative support with docket entries, billings, expense processing, and invoice payments in accordance with firm policies;
- Provide backup and overflow assistance to lawyers, law clerks, and legal assistants as required;
- Exercise sound judgment and work independently to resolve administrative issues;
- Perform additional duties as assigned.
Requirements
- Minimum 3 years of experience as a Legal Assistant in litigation;
- Post-secondary education in Legal Administration or an equivalent program;
- Proficiency with Microsoft Office, Adobe Pro, Excel, and other legal-specific technologies;
- Experience with and knowledge of the Canadian International Trade Tribunal, Federal Courts, Rules of Civil Procedure, and court practices and procedures is considered an asset;
- Understanding of metadata is preferred;
- Experience with Aderant or other legal billing software, including billing processes, expense management, and invoice processing, is considered an asset;
- Excellent organizational and time management skills with the ability to manage multiple priorities;
- Exceptional proofreading, grammar, and attention to detail;
- Ability to maintain professionalism, confidentiality, and discretion at all times;
- Strong verbal and written communication skills with the ability to interact effectively with clients and all levels of firm personnel;
- Ability to work collaboratively within a team environment;
- Ability to work effectively under pressure and meet deadlines.
