Executive/Legal Assistant – Municipal and Land Development

Our client, a respected Toronto law firm specializing in Expropriation Law, is seeking a Legal Assistant to join their team. This position will provide lawyers with legal and administrative support in a busy and collaborative environment. The successful candidate will work closely with lawyers, assistants, and administrative staff to support client matters and firm operations.
Duties & Responsibilities
- Provide executive-level legal and administrative assistance to lawyers
- Prepare, review, and finalize correspondence and legal documents
- Manage calendars, emails, scheduling, and file organization
- Handle electronic and paper filing systems
- Coordinate large and small mailings and document compilations
- Provide day-to-day support for a busy legal practice
- Collaborate with other assistants on office projects and administrative tasks
- Answer the main incoming phone line alongside other assistants
- Prepare and send/receive faxes as required
- Prepare client invoices from time to time as requested
- Transcribe digital dictation
- Process dockets and expense reports
- Perform additional related administrative duties as assigned
Requirements
- Successful completion of a Legal Assistant or Law Clerk program
- Minimum 4 years’ experience in a similar role
- Knowledge of Expropriation Law considered an asset
- Experience with real estate, tribunal proceedings, or litigation matters would be highly beneficial
- Experience with NetDocuments or similar document management systems is an asset
- Strong proficiency with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
- PC Law or Soluno experience considered a strong asset
- Excellent organizational and time management skills
- Exceptional attention to detail and ability to prioritize tasks effectively
- Strong sense of urgency and ability to work in a fast-paced environment
- Team-oriented with strong interpersonal skills
