Our client, a well-established law firm located in downtown Toronto, is seeking a highly organized and detail-oriented Real Estate Assistant to join their busy team. This position offers the opportunity to work closely with lawyers on a variety of commercial real estate matters while also providing administrative and billing support.

Duties & Responsibilities

Real Estate Support

  • Assist with commercial real estate transactions
  • Review and edit legal documents including purchase and sale agreements, leases, and security documents
  • Prepare and manage digital closing books
  • Support due diligence by preparing related summaries
  • Prepare and revise closing documents, requisition letters, and reporting letters
  • Facilitate mortgage discharges and renewal documentation and coordinate with financial institutions
  • Assist with commercial leasing matters including lease renewals and amendments
  • Edit documents including correspondence, letters, memos, and emails
  • Open and maintain files and enter file data
  • Enter client information into the CRM and assist with lawyers’ business development activity tracking
  • Prepare cheque requisitions, wire forms, and internal forms
  • Draft and proofread correspondence, agreements, and other documents
  • Maintain lawyers’ calendars, schedule meetings, arrange travel, and manage client contact databases
  • Answer and direct phone calls, respond to client inquiries, and manage correspondence routing
  • Perform general office duties including scanning, photocopying, billing, docketing, and expense management
  • Provide coverage for other team members during absences or busy periods
  • Organize client functions and events
  • Enter and revise time dockets, prepare pre-bills, and finalize invoices
  • Assist in managing lawyers’ practices including document organization, meeting coordination, and deadline tracking for active files and closing lists

Requirements

  • Previous experience as a Real Estate Legal Assistant in a law firm environment
  • Strong knowledge of commercial real estate transactions and documentation
  • Excellent proofreading and document editing skills
  • Proficiency with Microsoft Office and legal software applications
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Ability to work independently and within a team environment
  • Professional, detail-oriented, and client-service focused
