Our client, a well-established law firm in downtown Toronto, is seeking a Mail Room / Facilities Coordinator to join their Office Services team. This is an excellent opportunity for an organized and detail-oriented individual who thrives in a fast-paced legal environment.

Duties & Responsibilities:

  • Process and distribute incoming/outgoing mail, couriers, and cheques in accordance with office procedures

  • Perform time-sensitive “rush” deliveries and pick-ups on foot and via transit

  • Assist with daily banking and government filings

  • Operate fax and other communication equipment

  • Coordinate with staff and clients to ensure timely handling of urgent materials

  • Liaise with courier and postal services regarding rates and service options

  • Maintain organization and cleanliness of the mailroom and storage areas

  • Track and manage mailroom inventory and office supplies

  • Transport files, packages, and boxes (up to 40 lbs) as required

  • Assist with office and meeting room setup and reconfigurations

Requirements:

  • Minimum 2 years of experience in a similar role

  • Ability to lift and move items up to 40 lbs

  • Willingness to travel locally for deliveries in various weather conditions

  • Strong organizational and time-management skills

  • Excellent communication and interpersonal abilities

  • Ability to work efficiently in a fast-paced environment
