Our client, a well-established firm with a busy Tax and Estates practice, is seeking a highly organized and detail-oriented Legal Assistant to provide support to two lawyers, including one senior partner. This role is ideal for an experienced professional who thrives in a fast-paced environment, can manage complex files independently, and demonstrates exceptional client service and communication skills.
Prepare correspondence and legal documents related to taxation, estate planning, complex wills, family trusts, and estate administration.
Manage time-sensitive documents, ensuring accuracy and timely completion.
Organize, open, maintain, and close client files in accordance with firm procedures.
Prepare estate planning and corporate reorganization reports.
Enter dockets, process monthly billing, and maintain tickler systems for key task deadlines.
Schedule and coordinate meetings, appointments, and events while managing lawyers’ calendars.
Act as a primary contact for clients, vendors, and internal communications.
Assist in planning and organizing internal and client events.
Perform additional administrative and legal support duties as required.
Legal Assistant Diploma or equivalent education.
Minimum 5 years of experience supporting lawyers in Tax and Estates or similar practice areas.
Strong proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with Adobe/Kofax PDF, DocuSign, Workshare Compare, Closing Folders, CorpLink, and Carpe Diem.
Experience using document management systems (e.g., iManage).
Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
Exceptional communication, interpersonal, and client service skills.
Confident self-starter who works effectively both independently and as part of a team.
High degree of accuracy, professionalism, and discretion.
