About the Role

Our client, a well-established firm with a busy Tax and Estates practice, is seeking a highly organized and detail-oriented Legal Assistant to provide support to two lawyers, including one senior partner. This role is ideal for an experienced professional who thrives in a fast-paced environment, can manage complex files independently, and demonstrates exceptional client service and communication skills.


Duties & Responsibilities

  • Prepare correspondence and legal documents related to taxation, estate planning, complex wills, family trusts, and estate administration.

  • Manage time-sensitive documents, ensuring accuracy and timely completion.

  • Organize, open, maintain, and close client files in accordance with firm procedures.

  • Prepare estate planning and corporate reorganization reports.

  • Enter dockets, process monthly billing, and maintain tickler systems for key task deadlines.

  • Schedule and coordinate meetings, appointments, and events while managing lawyers’ calendars.

  • Act as a primary contact for clients, vendors, and internal communications.

  • Assist in planning and organizing internal and client events.

  • Perform additional administrative and legal support duties as required.


Requirements

  • Legal Assistant Diploma or equivalent education.

  • Minimum 5 years of experience supporting lawyers in Tax and Estates or similar practice areas.

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with Adobe/Kofax PDF, DocuSign, Workshare Compare, Closing Folders, CorpLink, and Carpe Diem.

  • Experience using document management systems (e.g., iManage).

  • Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.

  • Exceptional communication, interpersonal, and client service skills.

  • Confident self-starter who works effectively both independently and as part of a team.

  • High degree of accuracy, professionalism, and discretion.
