Duties and Responsibilities:

-           Handle all administrative duties such as email and calendar management, coordinate meetings, book travel arrangements, etc.;

-           Process incoming/outgoing mail, prepare expense reports, process of invoices and disbursements, expense reconciliation;

-           Drafting and preparing speaking engagements;

-           Coordinating meetings and events, including developing and distributing agendas, reserving meeting rooms, and preparing, compiling and distributing supporting documents;

-           Under legal professional supervision, prepare legal documents and correspondence according to precedents and/or instructions;

-           Opening and closing files;

-           Prepare and maintain a bring-forward system;

-           Ensure all physical and electronic filing is organized and up to date on a regular basis;

-           Liaising with clients regarding invoices, collections and preparation of WIP/AR reports;

-           Delegate tasks to, and coordinating with, other administrative departments (finance and marketing); and

-           Additional duties, as assigned.

 

Requirements:

-           Completion of a post-secondary Legal Assistant or Law Clerk course, or equivalent Securities experience;

-           8+ years' of Legal Assistant experience working in Securities;

-           In-depth understanding of business and legal terminology;

-           Strong technical skills using MS Office (Outlook, Word, Excel and PowerPoint);

-           Excellent communication skills, written and verbal;

-           Solid attention to detail and time management skills; and

-           Ability to prioritize and meet urgent deadlines.
