Client Profile:

Our client, a reputable Toronto law firm is currently looking for an Office Manager. This firm has an excellent culture and a lot of career development opportunities.

 Duties and Responsibilities:

-           Effectively communicate and confirm daily calendar requirements with Arbitrators;

-           Taking care of general day-to-day operations, such as answering phones, filing, making copies, printing, binding and mailing out documents;

-           Organize and oversee meetings while preparing and distributing meeting notices, agendas, and materials;

-           Attend meetings, take accurate notes, and distribute meeting minutes as needed;

-           Facilitate mediation/arbitration processes by sending and obtaining agreements, briefs, and reports, as well as managing accounts and payments;

-           Manage speech transcription, docket entry, billing, e-billing, accounts receivable status, and collection processes;

-           Oversee financial transactions, including accounts payable, accounts receivable, and payroll;

-           Maintain a bring forward system;

-           Liaise between firm and external vendors, including building management;

-           Manage and draft external and internal correspondence;

-           Coordinate and facilitate event planning and make travel arrangements as required;

-           Additional tasks as required.

 

Requirements:

-           Post-secondary education in the legal stream;

-           Minimum of 5 years administration experience;

-           Knowledge of legal terminology, procedures, and document preparation;

-           2+ years of experience bookkeeping (QuickBooks preferred);

-           Proficiency in Microsoft (Word, Outlook, PowerPoint, and Excel);

-           Excellent communication skills, written and verbal;

-           Adherence to the highest ethical standards, demonstrating accountability, integrity, and a high degree of professionalism;

-           Detail oriented, organized, and self-motivated;

-           Proven time management skills and the ability to prioritize deadlines; and

-           Ability to work independently while functioning well in a team environment.
