Intellectual Property Legal Assistant – Hybrid
An established IP practice is seeking an experienced Intellectual Property Legal Assistant to support a busy patent and trademark team. This is a great fit for someone who enjoys detailed USPTO work, managing deadlines, and being a key point of contact for clients and inventors in a fast-paced environment.
Key IP Responsibilities
Prepare and file new provisional, utility, design, continuation, divisional, and National Stage patent applications, including all required supporting documents with the USPTO.
Prepare and file Information Disclosure Statements and other prosecution documents under attorney supervision.
Communicate with clients to obtain executed formal documents (Powers of Attorney, Oaths/Declarations, Assignments, formal drawings, etc.) for U.S. and international filings.
Use USPTO and international IP databases to research and compile data on patents and trademarks.
Assist with patent and trademark searches and the preparation and filing of trademark applications and responses.
Communicate with clients to compile proof of use and determine accurate descriptions of goods and services for trademark matters.
Administrative & Docketing Responsibilities
Monitor and maintain a busy IP docket, track deadlines, and ensure timely filings and responses.
Prepare reference materials and transcribe or format documents and correspondence.
Establish and maintain organized physical and electronic files for IP matters.
Open new client matters, answer phones, route calls, and schedule appointments and meetings.
Desired Skills & Experience
Minimum 2 years of law firm experience, preferably in intellectual property or patent/trademark prosecution.
Familiarity with USPTO procedures, IP terminology, and formal filing requirements.
Strong attention to detail, excellent written and verbal communication skills, and the ability to manage multiple deadlines.
Proficiency with Microsoft Office and comfort learning IP-specific software and online filing systems.
Self-starter who works well independently and as part of a small, collaborative team.
