We are seeking a detail-oriented, highly organized Asset Management Coordinator to support the implementation of a new Computerized Maintenance Management System (CMMS) at a corporate headquarters campus.
This hands-on role is critical to preparing, validating, and organizing campus data, assets, and workflows for a successful CMMS launch. You’ll perform asset audits, inventory validation, data cleanup, mapping, and system configuration. The ideal candidate enjoys working at the intersection of data, systems, and physical operations and thrives in a collaborative, fast-paced environment.
Asset & Inventory Management
Conduct comprehensive asset audits, including physical verification and data validation
Support inventory audits, confirm stock levels and storage locations
Prepare standardized datasets for CMMS import
Data Organization & Standardization
Apply standardized naming conventions for buildings, rooms, and storage locations
Prepare clean, structured datasets to support system migration and long-term usability
Campus Mapping & Documentation
Update and confirm accuracy of campus floorplans and maps
Label and photograph assets, rooms, and storage areas for system integration
Organize documentation and photo files for CMMS mapping tools
System Implementation Support
Assist with CMMS configuration, request types, custom fields, and workflows
Support Preventive Maintenance (PM) schedule setup and checklist preparation
Audit legacy work orders and prepare data for system migration
Configure system notifications, routing rules, SLAs, and user permissions
Documentation & Training
Contribute to SOPs, quick-start guides, and training materials
Support knowledge transfer to ensure teams can use the CMMS effectively
Experience implementing or supporting a CMMS or maintenance management system (FMX, Maximo, Archibus, ServiceChannel, Maintenance Connection, or similar)
Proficiency with Excel, including sorting, filtering, pivot tables, and preparing import-ready data
Hands-on experience auditing assets, performing inventory counts, and documenting physical spaces
Ability to read and interpret floorplans and campus maps
Strong organizational and time-management skills; ability to manage multiple tasks and shifting priorities
Excellent attention to detail and accuracy
Strong interpersonal and collaboration skills; able to work with property, trade, and facilities teams
Self-directed and accountable, able to work independently while providing updates
Work order systems experience (Jira or similar)
Experience in preventive maintenance setup
Facilities operations, property management, or campus operations experience
