Job Title: Administrative Assistant
Location: On-Site, near Johns Creek, GA                                     
Schedule: Full-Time

Our client is a well-established, Christ-Centered Financial Planning Firm that has been around for 35 years. Innovative Outsourcing is excited to partner with our client to find a full-time Administrative Assistant. Position Overview

This is a professional position that will support the Operations Manager and firm advisors.  Primary function is to assist in various projects including meeting preparation and creating and processing new client paperwork. Secondary function is to back up the receptionist when she is out of the office. This would include greeting visitors, answering the phone, scheduling appointments and handling face-to-face inquiries. Often the Receptionist will supply information regarding the organization to the public, clients and customers. Thorough computer and technology skills are essential with the ability to quickly learn new software. Ideal candidate must have the ability to utilize critical thinking skills, work independently, and anticipate firm needs and client questions.

Job Responsibilities:

Provide support to Operations Manager and Advisors including/but not limited to:

  • Prepare and process new client account paperwork, transfers, model allocations, changes of beneficiary, etc.
  • Problem solving for open client tasks
  • Relay information between advisors and clients when necessary
  • Respond to client calls and needs when Operations Manager or Advisors are not available
  • Communicate with client’s other advisors (i.e. lawyers, CPAs, etc.) to help bring clarity to client issues
  • Other items as required by lead advisors and Operations Manager

Administrative duties when Receptionist is absent:

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries
  • Prepares meeting room (make sure room is clean and meeting documents are up on monitor)
  • Maintains clean reception area
  • Answers telephones, screen and direct calls
  • Must take and relay messages in a timely manner
  • Prepares letters and documents as requested
  • Responsible for the mail posting, sorting, and delivering to appropriate parties
  • Responsible to schedule appointments
  • Scans documents as necessary
  • Prepare Kingdom Advisor Study Group lessons plans and CD

Other:

Always be ready to provide a helping hand with cleaning, lifting, and any other office maintenance or improvements that are required (i.e. KP rotation, office clean up)

Requirements:

  • Excellent interpersonal/communication skills and customer service oriented
  • Analytical and problem-solving skills
  • Proficient at MS Office and other computer programs
  • Ability to work under pressure
  • Team Focused
  • Organized and be able to multi-task

Compensation:  $50,000 - $53,000, based on experience
