Position Summary:
- An innovative biopharmaceutical company committed to improving the lives of patients with endocrine disorders is seeking a polished and highly experienced Senior Executive Assistant to support both the Chief Financial Officer and Chief Corporate Affairs Officer. This role is ideal for a seasoned administrative professional who thrives in a fast-paced, high-growth environment and is comfortable managing sensitive information, complex logistics, and strategic support functions at the executive level.
Key Responsibilities:
- Provide proactive executive support for two C-suite leaders, including calendar management, travel coordination, and meeting preparation
- Coordinate cross-departmental activities including budgets, contracts, and goal tracking for Finance and Corporate Affairs teams
- Serve as a liaison with internal teams and external stakeholders, exercising sound judgment with confidential and time-sensitive matters
- Prepare, format, and edit presentation materials for investor meetings, internal briefings, and strategic planning sessions
- Partner with other executive assistants and departments to streamline administrative processes and implement best practices
- Manage contracts, accounts payable, expense reporting, and reconciliations using internal systems
- Support the Investor Relations team in organizing meetings and logistics
- Contribute to company events, board meetings, and department-wide planning sessions
- Assist with document creation, SOPs, and internal administrative communications
Qualifications:
- 8+ years of administrative support experience, with 3+ years supporting C-level executives
- Bachelor’s or Master’s degree strongly preferred; life sciences or biotech industry experience is a plus
- Demonstrated ability to manage complex international and domestic travel, budgeting, and calendar coordination
- Exceptional written and verbal communication skills, with a professional and adaptable demeanor
- Proficiency in Microsoft Office Suite, PowerPoint, and internal platforms for contracts and expenses
- Experience in investor relations support highly desirable
- Proven track record of discretion and reliability in managing confidential information
- Ability to anticipate needs, manage competing priorities, and stay organized in a dynamic, team-oriented setting
