We’re seeking a highly organized, proactive Administrative Assistant to support two remote Division Presidents. This role is based in the Carlsbad office five days a week and requires a detail-oriented, resourceful professional who thrives in a fast-paced environment. The ideal candidate will play a key role in managing calendars, coordinating travel, preparing expense reports, and supporting executive-level presentations.
What You’ll Be Doing:
Provide administrative support to Division Presidents
Coordinate complex calendars and schedule meetings
Prepare and reconcile expense reports
Book and manage travel logistics, including flights, hotels, and transportation
Assist with creating presentations in PowerPoint
Collaborate with the existing Office Assistant to ensure smooth daily operations
Help coordinate office vendors, facilities needs, and workstation setup
What We’re Looking For:
5+ years of experience in executive or administrative support
Strong proficiency in Microsoft Excel, Word, and PowerPoint
Exceptional attention to detail and ability to multitask effectively
Clear, professional communication and strong follow-through
A self-starter with a motivated, resourceful attitude
Experience supporting facilities or vendor coordination is a plus

Salary range: $75,000 – $85,000
