In This Role, You Will:
- Manage the Executive’s calendar, schedule appointments, coordinate meetings, and handle travel arrangements and logistics.
- Monitor and respond to email correspondence on behalf of the Executive with accuracy and discretion.
- Draft, proofread, and edit internal and external communications, including emails, memos, and presentations.
- Act as a liaison between the Executive and internal staff, clients, and external partners to ensure smooth communication.
- Manage incoming customer calls: screen and direct calls professionally, take accurate messages, and follow up appropriately.
- Maintain organized digital and physical filing systems and ensure sensitive documents are handled with confidentiality.
- Assist with reporting, research, and the preparation of meeting materials to support executive decision-making.
- Coordinate and manage internal/external meetings, conference calls, and events.
- Provide support for special projects, collections, inventory purchasing, housekeeping, filing, and additional administrative tasks as needed.
- Manage company social media accounts (Facebook, LinkedIn, Instagram)
- Create content and launch posts, respond to comments and messages, increase engagement and brand visibility
- Update and maintain profile information
- Enter and manage client data within project management and CRM systems.
- Monitor incoming leads in the CRM, initiate contact, and support follow-up processes.
Qualifications You Bring:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Minimum of 5 years’ experience providing administrative support at the executive level.
- Industry experience in marketing, advertising, or creative services is strongly preferred.
- Exceptional written and verbal communication skills.
- Strong customer service and interpersonal skills with a professional demeanor.
- Demonstrated ability to manage confidential information with integrity.
- Highly organized with the ability to prioritize and manage multiple tasks under tight deadlines.
- Proficient in Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides, Calendar, Gmail).
- Experience with CRM systems and digital project management tools.
- Proactive, resourceful, and capable of working independently with minimal supervision.
- Sound judgment and ability to take initiative to solve problems efficiently.
- Strong understanding of document organization and storage within a CRM environment.
