Location: Zebulon, NC (Onsite with potential for hybrid based on experience)
HIRE Strategies is seeking an organized, proactive ABA Program Administrator to support the day-to-day operations of a growing ABA program.
This role is critical to ensuring services run smoothly, teams stay aligned, and clients receive consistent, high-quality care. You will work closely with clinical and administrative teams to manage scheduling, support staff, maintain compliance, and strengthen overall program performance.

Manage scheduling, staffing coordination, and workflow to ensure services are delivered efficiently and consistently.
Assist with hiring, onboarding, and training staff, including RBTs and administrative team members. Monitor performance and ensure required certifications and trainings are up to date.
Oversee intake and onboarding of new clients, including scheduling assessments, verifying eligibility, and assigning staff. Maintain continuity of care and address service gaps as they arise.
Maintain compliance with regulatory, ethical, and payer requirements. Conduct audits of client files, session notes, and documentation to ensure accuracy and completeness.
Create and maintain schedules that maximize coverage and minimize cancellations. Coordinate changes and ensure authorized service hours are fully utilized.
Verify insurance benefits, track authorizations, and collaborate with billing teams to resolve discrepancies and ensure services align with approvals.
Ensure all systems are used properly and documentation is completed accurately and on time. Support reporting on client progress and program performance.
Act as a central point of contact between BCBAs, RBTs, families, and leadership. Keep communication clear, timely, and solutions-focused.
Identify opportunities to improve processes, strengthen systems, and support program growth.
• Bachelor’s degree in Psychology, Education, Business Administration, or related field (Master’s preferred)
• Experience in an ABA or behavioral health setting (clinical or administrative)
• Strong understanding of ABA terminology and service delivery
• Familiarity with insurance processes and authorizations
• Highly organized with strong attention to detail
• Strong communication and problem-solving skills
• Experience with systems like Rethink, CentralReach, or similar platforms preferred
• Schedule: Part-Time
• Growth Opportunity: Potential to increase hours and responsibilities within 90 days based on performance
• Location: Zebulon, NC (Onsite with potential for hybrid flexibility based on experience)
• Compensation: $15 to $18 per hour based on experience
