As an Executive Assistant, you'll be the right hand to our executive team, keeping operations smooth, communication flowing, and projects moving forward. You’ll play a key role in helping our leadership stay focused, prepared, and connected.
Key Responsibilities:
Be the primary liaison between executives and staff, clients, and key external partners
Own calendar management, email oversight, and day-to-day coordination for executive leaders
Plan and schedule meetings, events, and internal milestones with efficiency and foresight
Prepare and submit timesheets, expense reports, and internal communications with accuracy
Make seamless travel arrangements for executives and senior team members
Answer, screen, and route phone calls while managing email and physical correspondence
Maintain and update mailing and distribution lists to keep communications running smoothly
Coordinate with departments on executive-related initiatives (e.g., sponsorships, campaigns, public events)
Assist with planning engaging company-wide events like open houses, holidays, and anniversaries
Provide critical support on clerical tasks: proofreading, filing, organizing, transcribing, and document management
5+ years of proven success in an Executive Assistant or high-level Administrative Support role
Expert-level knowledge of Microsoft Office Suite, including Microsoft Teams
Exceptional communication, organization, and time management skills
A sense of discretion, confidentiality, and professional integrity
A positive, solutions-oriented attitude — you know how to anticipate needs before they arise
Bonus: Experience working in the Architecture, Engineering, or Construction industry is a plus!
