Position Overview

A career opportunity for a polished, detail-oriented professional who thrives in a client-first environment. You'll be the operational backbone of a nationally recognized Pittsburgh wealth management firm - supporting advisors and keeping a high-touch office running with precision.

Compensation: Based on experience + performance bonuses
Location: Pittsburgh, PA (South Hills) — In Office
Schedule: Monday–Friday, 8:30am–5:00pm

Services span investment management, estate planning, business financial services, and retirement planning. A small, professional team where every person's contribution is visible and valued.

Responsibilities

  • Manage advisor calendars, coordinate client meetings, and prepare meeting materials
  • Support client onboarding, account paperwork, and service requests with accuracy and discretion
  • Greet and assist high-net-worth clients professionally — in person, by phone, and via email
  • Maintain client records within CRM and portfolio management systems
  • Assist with compliance documentation, file organization, and regulatory recordkeeping

Requirements

Required:

  • 2+ years of administrative experience in financial services, a law firm, CPA firm, or similar professional services environment
  • Strong written and verbal communication skills with high attention to detail
  • Proficiency in Microsoft Office Suite
  • Discretion and integrity when handling confidential client information

Preferred:

  • Experience in a wealth management or investment advisory office
  • Familiarity with financial planning platforms
  • Associate's or Bachelor's degree in Business, Finance, or related field
