Title: HR & Operations Specialist (Dual Jurisdiction: US/India)

About the Role
We are seeking a sharp, proactive mid-level HR & Operations Specialist to support a fast-paced HR/Office Manager in managing a distributed workforce across the United States and India. This position requires a true quick study who can work independently, solve problems with minimal guidance, and follow established processes consistently. Success in this role comes from being resourceful, highly organized and able to anticipate needs before they are communicated.
Key Responsibilities
1) Contract Drafting & Document Support
Draft, edit, and proofread Sales, Vendor, Employment and contractor agreements
Ensure contracts reflect appropriate U.S. and India legal considerations
Maintain organized records of contract versions, signatures and approval status
Spot inconsistencies, missing details, misaligned terms and formatting issues before finalization
2) Compliance Management (US + India)
Support compliance with relevant U.S. federal/state requirements and Indian labor standards
Maintain 100% compliant digital employee files (offer letters, tax forms, policy acknowledgements, etc.)
Assist in vendor onboarding compliance (W-9/W-8, COIs, agreements, supporting docs)
Track and maintain compliance deadlines and renewals (agreements, renewals, registrations, etc.)
3) HR Administration/Employee Lifecycle
Support onboarding/offboarding workflows for U.S. and India-based staff/contractors
Maintain and update required documentation and approvals
Coordinate HR tasks related to attendance, leave tracking and internal employee communication
Ensure high accountability with internal HR workflows (no missing steps)
4) Operations & Data Entry (Accuracy Required)
Maintain and update records in Tracker and internal databases/systems
Ensure accurate and timely updates to:
o Employee and candidate records
o Client/vendor records
o Contract status, compliance tracking and workflow steps
Identify duplicates, inconsistencies and missing information proactively
5) AI & Tech Integration
Proactively use AI tools and automation to improve speed, accuracy and output quality
Proficient in Microsoft Office and Google Workspace, including:
o Excel/Google Sheets (advanced formatting, formulas, reporting support)
o Word/Google Docs (templates, formatting, redlines, contract cleanup)
o PowerPoint/Google Slides (creating polished presentations, proposal decks, formatting,
cleanup, and branding consistency)
o Shared drives, permissions, and file management
Suggest improvements to reduce manual work while maintaining compliance and confidentiality
6) Communication & Administrative Support
Draft professional emails, IMs, and formal correspondence on behalf of management
Act as a gatekeeper for the HR/Office Manager by ensuring:
o Follow-ups are never missed
o Deadlines are tracked
o Tasks are closed properly
Coordinate reminders, requests and process updates for stakeholders
Qualifications
Required
Experience: 3–5 years in HR Operations, HR Admin, Staffing Ops or similar operational HR
support role
Legal/Compliance Knowledge: Working understanding of HR compliance practices in India, plus ability to learn and follow U.S. compliance requirements
Technology Skills: Strong proficiency with Microsoft Office and Google Workspace
Accuracy Standards: Strong attention to detail and ability to deliver work without errors
Professional Writing Skills: Ability to draft clean, professional, clear emails and documents
Preferred
Experience supporting U.S. based staffing, recruitment or HR operations
Experience with ATS/HRIS systems (Tracker experience a major plus)
Familiarity with document redlining, agreements and business contracts
