Job Description

This important role will manage high-level projects to ensure smooth operation in the planning and coordinating of executive level meetings/events in addition to proofreading board materials and presentations while ensuring that all projects are completed on time, within budget and meet high quality standards for the Virginia Housing Rental Division. The contractor will handle requests from partners, stakeholders, and Virginia Housing Leadership. This role performs concurrent assignments and projects in an efficient and highly organized manner in a fast-paced, high-energy team environment. The role provides high-impact administrative and operational support, leveraging digital tools to streamline tasks such as document creation, records management, scheduling and coordinating logistics. Responsibilities include managing financial workflows and travel expenses for multiple directors, sourcing suppliers, coordinating communications, conducting research, and supporting special initiatives. The position requires strong independent judgment to plan, prioritize, and organize a dynamic workload while proactively identifying opportunities to enhance processes and improve efficiency.. A high degree of confidentiality and discretion with sensitive information are key to the success of this role. The role reports to the Managing Director of Rental Housing and will also work with the Director of Rental Housing Programs, Director of Tax Credit Programs and Director of Rental Housing Operations.

To be successful in this role, you must possess:

  • Associate degree preferred (business administration or related degree) or equivalent work experience.
  • Several years of work experience with senior management and C-Suite executives and able to work on competing priorities and tasks simultaneously while maintaining composure and deliver high-quality results in a fast-paced, high-pressure environment.
  • Excellent communication skills with the ability to communicate effectively with all levels, especially executive levels, within the organization.
  • Excellent proofreading skills.
  • Strong event planning and coordination skills, including scheduling, logistics management, vendor coordination, and on site execution for leadership meetings and organizational events.
  • High proficiency in Microsoft Office Suite (Calendar, Word, Excel, Visio, PowerPoint), SharePoint and project management tools.
  • Strong attention to detail; excellent organizational skills.
  • Ability to maintain a professional demeanor with individuals at all levels of the organization.
  • Ability to anticipate needs and take initiative to solve problems.
  • Familiarity with financial institutions, housing organizations, state and local governments is preferred.
  • This position is required to report to various Virginia Housing office locations, which may include Headquarters (HQ), Highwoods, and/or VHC sites. The contractor is responsible for reporting to the assigned location(s) as directed and ensuring reliable transportation to meet on-site work requirements.

The ideal candidate would also have experience in:

  • Event planning and coordination skills, including scheduling, logistics management, vendor coordination, and on-site execution for leadership meetings and organizational events.
  • High proficiency in Microsoft Office Suite (Calendar, Word, Excel, Visio, PowerPoint), SharePoint, Concur and project management tools.
