Job Description

Capstone IT Staffing is partnering with a premier client to hire a Project Coordinator. This support position requires a detail-oriented and customer service-oriented individual with excellent organizational skills. The role involves high levels of correspondence and communication with the project management team, service team, customers, and vendors.

Prior experience in project management or similar roles is highly desired.

Essential Job Functions

  • Tracks ship dates and assist with communication to customers regarding shipping updates.
  • Logs project information into CRM database.
  • Communicates efficiently and effectively with other team members concerning project management processes.
  • Communicates with Service team coordinators to procure project information/status, site contacts, startup dates, etc.
  • Completes tasks assigned in the Project Management Coordinator dashboard.
  • Manage receipt and distribution of current installation operation and maintenance manuals (IOMs) to customers.
  • Assists with distribution and receipt of equipment submittals.
  • Updates and maintains project folders.
  • Responsible for administrative functions to support the equipment fulfillment process (Job Information, Start-Up Contacts, etc.).
  • Order entry as assigned (CRM database, QuickBooks, 3rd Party Vendors).
  • Responsible for generating, interpreting, and printing various assigned reports.
  • Flexibility to work overtime/weekends, as required.

Requirements

  • Administrative Assistance experience.
  • Exceptional customer service and communication skills.
  • Strong PC skills in Microsoft Word, Excel, and Outlook.
  • HVAC, Mechanical Contracting, Engineering, or Construction industry experience is a plus.
  • Ability to work independently and as part of a team.

Other Skills/Abilities

  • Ability to read and comprehend multi-step instructions, short correspondence, and memos. Ability to write high-quality correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to solve problems involving several concrete variables in standardized situations.
  • Mental stamina for problem-solving while simultaneously prioritizing multiple tasks.

Environmental Requirements

  • Option to work in the office or from home most of the time. Monthly availability for in-office lunch meetings.
