About the work

Alinea’s UK project portfolio covers a broad range of technical areas, including: Livelihoods, Governance, Climate Change Resilience, Countering Violent Extremism, Counter-Terrorism, Monitoring and Evaluation, and Strategic Communications. This is a growing portfolio, which this role will be key in supporting.

Reporting to the Project Manager and/ or Project Director, the Coordinator will be responsible for the logistical and administrative aspects of Alinea UK projects assigned to them. They will oversee all project administration and coordination duties and will liaise as needed with key project stakeholders based in the UK and abroad. There is also scope for junior-level technical activities, based on the experience of the applicant.

The Role Specific responsibilities include, but are not limited to:
Project Coordination
• Working with Alinea head office support to draft contracts, and client invoices
• Tracking project spend and feeding that information into invoices
• Supporting the Project Manager to liaise with clients
• Contributing to business development activities as required
• provide reporting support to the Project Directors, including administrative services, formatting and auditing, reviewing, and submission, as needed;
• providing administrative and technical support services for the project and establish and maintain efficient administrative systems including filing and inventory;
• coordinate project logistics, including transportation and accommodation for project staff and consultants, visas and pre-deployment packages;
• coordinate and provide support on recruitment of key personnel and procurement of goods and services, as needed;
• prepare contracts for consultants and conduct audits of resulting timesheets, expense claims and invoices;
• provide administrative support to the project core teams and Project Directors and provide guidance on administrative processes to local staff.

Although most of the time for this role will be spent on project work, there will frequently be times where the applicant is not fully occupied with project work. In such periods, they will be expected to work with the broader Alinea UK team. This will primarily focus on Business Development and include:
• Working with broader Alinea UK team to identify new business opportunities
• Working with broader Alinea UK team to build and maintain partnerships with different subcontractors and/ or prime contractors
• Contributing to the writing of bid sections
• Generally networking and building connections across clients and potential partners, to strengthen Alinea’s commercial position

Mandatory Required Qualifications:
• At least 2 years of experience working in international development, or related fields, with experience of project coordination
• Excellent computer skills. A strong skill set in MS Office is required, particularly in MS Word, Excel, Outlook and PowerPoint

Desirable:
• Excellent interpersonal, written and verbal communication skills
• Ability to prioritise and manage time efficiently.
• High level of attention to detail
• Experience in formatting documents of length up to 100+ pages
• A team player that readily supports other organizational members and members of their project team(s)
• Fluency in Ukrainian, Russian, or French
