This well-established practice is a leader in oral & craniofacial surgery serving the Portland Metro area. The Practice Administrator will oversee operations and participate in crafting the vision for continued growth.

The Practice Administrator is responsible for the efficient and effective management of a highly specialized medical and dental practice focused on head and neck oncology, oral surgery, and other surgical procedures of the head and neck. This role ensures seamless administrative operations, regulatory compliance, financial oversight, and strategic planning to support a multidisciplinary team of physicians, dentists, and clinical staff. The Administrator fosters a high-performance work environment, enabling the practice to deliver exceptional patient care while maintaining operational excellence.

Key Responsibilities:

Operations Management

  • Oversee the day-to-day administrative operations of the practice, ensuring efficiency and alignment with organizational goals.
  • Develop and implement policies and procedures to enhance workflow, patient care, and regulatory compliance.
  • Manage scheduling systems for medical and dental practitioners, ensuring optimal patient flow and provider efficiency.
  • Coordinate with IT and healthcare technology teams to maintain and optimize electronic medical records (EMR) and practice management systems.
  • Oversee facilities management, ensuring a safe and well-maintained environment for staff and patients.

Financial Management

  • Develop and manage the practice’s operating budget, ensuring fiscal responsibility and profitability.
  • Oversee billing, coding, and revenue cycle management to optimize reimbursement and minimize denials.
  • Monitor financial performance, generate reports, and implement cost-control measures.
  • Collaborate with accounting teams for payroll, vendor payments, and financial reporting.

Human Resources & Staff Leadership

  • Supervise administrative and support staff, ensuring a productive and professional work environment.
  • Lead recruitment, onboarding, and performance management processes.
  • Develop training programs to enhance staff skills and compliance with medical and dental regulations.
  • Foster a culture of teamwork, professionalism, and continuous improvement.

Regulatory Compliance & Risk Management

  • Ensure the practice adheres to all healthcare regulations, including HIPAA, OSHA, and state-specific medical and dental practice requirements.
  • Maintain accreditation and compliance with relevant professional and governmental organizations.
  • Develop and oversee risk management policies, ensuring patient safety and legal compliance.
  • Coordinate with legal counsel and compliance officers as necessary.

Patient Relations & Experience

  • Ensure a patient-centric approach, improving the overall patient experience and satisfaction.
  • Address patient concerns and complaints, implementing solutions to enhance service quality.
  • Develop and monitor patient engagement strategies to improve retention and satisfaction.

Strategic Planning & Growth

  • Work closely with leadership to develop strategic initiatives for growth and expansion.
  • Identify opportunities for service enhancements, partnerships, and business development.
  • Conduct market research and feasibility studies to support practice expansion and service diversification.

Qualifications & Skills:

  • Bachelor’s degree in Healthcare Administration, Business Administration, or a related field (Master’s preferred).
  • Minimum of 5-7 years of experience in healthcare administration, preferably in a surgical or specialty practice.
  • Strong knowledge of medical and dental practice operations, billing, and compliance.
  • Experience managing a multidisciplinary team in a high-stakes medical environment.
  • Proficiency in EMR systems, practice management software, and financial reporting.
  • Excellent leadership, communication, and problem-solving skills.
  • Ability to handle sensitive information with discretion and professionalism.
