Job Description

Our client, a prestigious national Law Firm located in the East Hanover are is currently looking for a Litigation Legal Assistant to join their team. They are rated as one of the Best Places to work in NJ and one of the Best Law Firms in NJ as well.

Purpose of Role:

In this role, you will play a crucial part in supporting our Litigation Department. Your primary responsibilities will include meticulous document preparation, proficient management of legal document flow, efficient filing processes, mail processing, and providing essential administrative support to ensure the smooth operation of our litigation practice.

Responsibilities:
• Organize, maintain, and manage legal documents, including case files, pleadings, contracts, and correspondence. Ensure documents are filed accurately and promptly.
• E-file for NY, NJ as well as Federal Pacer.
• Assist in the preparation of legal documents, such as briefs, motions, and discovery requests. Coordinate document production and filing with the court.
• Communicate with clients, opposing counsel, and other parties as directed. Maintain a professional and courteous demeanor in all interactions.
• Schedule and manage appointments, hearings, and court dates. Remind attorneys of upcoming deadlines and court appearances.
• Assist with the preparation of client invoices, track billable hours, and ensure accurate record-keeping for client billing purposes.
• Provide general administrative support, including drafting correspondence, answering phones, and managing emails. Handle routine inquiries and direct calls to the appropriate parties.
• Assist in organizing legal seminars, conferences, and speaking engagements related to attorneys’ involvement in cannabis law and other legal areas.

Qualifications:
• Minimum of 6+ years related work experience.
• A bachelor's degree in a relevant field, paralegal certification, or equivalent work experience is preferred.
• Experience e-filing in both State (NJ/NY) and Federal courts.
• Working knowledge of NetDocuments or similar document management application.
• Experience using SurePoint or similar billing software experience.
• Strong knowledge of MS Word and Outlook as well as an ability to quickly learn other applications.
• Knowledge of digital dictation preferred; willing to train.
• Strong organizational skills, including the ability to prioritize tasks efficiently and manage workflow, especially in dynamic environments.
• Polished, professional and ability to communicate clearly, calmly, and concisely.
