Job Description

Our client is a highly regarded Engineering, Procurement, and Construction firm who portfolio includes a wide range of projects: gas turbine, biomass, solar, wind, biofuel, as well as industrial and environmental facilities.

We are currently recruiting a Payroll and Timekeeping Specialist to join our client's Project Team. 

NOTE: This is a LONG term contract position and is budgeted to last at least through the end of 2025. If as a candidate, you are open to travel, there may be opportunities for additional long term projects when this ends. 

The Payroll and Timekeeping Specialist is responsible for executing precise payroll and timekeeping tasks on a daily basis at the project site. Acting as a liaison between the home office payroll team and the project site, this role plays a crucial role in promoting the use of our timekeeping technology.

The position reports directly to the Project Accountant and involves various duties, including but not limited to managing the functionality of timekeeping hardware and software, assisting with data entry for new hires and terminations in ADP, introducing employee details into the time allocation tool. Ensuring accurate payment of hours to employees via ADP is another important responsibility. Strong communication skills are essential to collaborate effectively with project supervision and management for crew assignments, while fostering teamwork across all departments.

Responsibilities 
  • Maintain accurate records and files, adhering to company policies and procedures for payroll records.
  • Manage and maintain timekeeping hardware solutions to ensure precise time records.
  • Act as the primary point of contact at the project site for questions and troubleshooting related to timekeeping hardware and software.
  • Ensure that timekeeping systems accurately reflect daily statuses and facilitate accurate data flow across integrated systems.
  • Assist in setting up and configuring the timekeeping system according to project site requirements, in coordination with the Home Office.
  • Process employee work hour records at the project site, following company policies and procedures, and promptly address any discrepancies.
  • Collaborate with Home Office Payroll to ensure timely and accurate processing of payroll, including reviewing time adjustments, PTO requests, approvals, and per diem.
  • Address employee inquiries related to payroll and timekeeping promptly.
  • Distribute payroll checks efficiently.
  • Handle weekly payroll changes, such as direct deposits, tax adjustments, pay rate changes, and union status updates.
  • Ensure that the timekeeping system aligns with the data in ADP.
  • Familiarize with any labor agreements relevant to the project site and support Union reporting.
  • Collaborate with project controls on timekeeping and time allocation processes and technology configuration.
  • Assist management in preparing final checks.
  • Manage badge administration.
  • Serve as the communication point of contact with Safety, Quality, General Superintendent, Employee Care, and Project site management, maintaining awareness of arrivals and testing requirements, if applicable.
